Configuring Data monitoring rules to detect incomplete or inconsistent CI details

Configuration items (CIs) need to have consistent and accurate details to be managed well in the asset management lifecycle. Organizations often face challenges with CI data quality due to manual entry errors, incomplete integration details, or a lack of consistent validation. As a result, inconsistent or inaccurate details affect the further processing of the CIs, such as automation, reporting, and governance. You can use the Data monitoring capability to create rules that identify CIs with missing or inconsistent details. These rules include filters to narrow down specific criteria and can be scheduled to run daily, weekly, or monthly. When a rule runs, it displays all CIs that match the defined conditions, allowing you to review the results and take appropriate corrective actions.

To access Data monitoring rules, from Asset Console, click Asset Automation Console, and then click Data Monitor. The Data monitoring rules are displayed in the following image: 1760347057422-208.png

You can enabled additional columns from the Visible columns filter.
Click Filter to narrow your search for finding rules based on column names.

​​​​Viewing the insights of a Data monitoring rule

If BMC Helix ITSM is integrated with BMC HelixGPT, you can view insights into a rule and derive meaningful information to resolve the inconsistent CI details.
Select the rule from the table, and then click 1758299446527-548.png, and then click View insights. Use the predefined prompt in the Insights chat panel to view the overall summary of the issue and information about the possible resolution for the CIs.

Scenario

Garth, an asset manager at Apex Global, wants to identify missing or invalid details about the Operating system attribute of the Laptop CI. In BMC Helix ITSM, he creates the Laptop monitor rule with a filter criterion to detect CIs of type Laptop that have a missing manufacturer name. He schedules the rule to run automatically every Monday at 12:00 AM.

After the run is successful, the Data monitor displays the CIs that match the criteria defined in the rule. Garth views the CIs with inconsistent details and tries to resolve the issue.

(Optional) Since he is unsure about how to resolve the issue in the CIs, he views the Data monitoring rule's insights. He understands the summary of the issue and a recommendation to resolve it.

Before you begin

To enable the Data monitoring capability

  1. Log in to BMC Helix Innovation Studio. 
  2. Open the Feature Descriptor form by using the URL: 
    https://<HostName>/helix/index.html#/com.bmc.arsys.rx.innovationstudio/record/edit-data/Feature Descriptor
  3. To search for the feature flag, in the Search field, type CMDB-1523.
  4. Click the record.
  5. In the Edit record form, click 1758710342619-402.png in the IsEnabled field.
  6. Click Save.

To enable insights about a Data monitoring rule

  1. Log in to BMC Helix Innovation Studio. 
  2. Open the Feature Descriptor form by using the URL: 
    https://<HostName>/helix/index.html#/com.bmc.arsys.rx.innovationstudio/record/edit-data/Feature Descriptor
  3. Type CMDB-2297 ​​​in the Search field to search for the feature flag.
  4. Click the record.
    The Edit record form is displayed.
  5. Click 1758710342619-402.png in the IsEnabled field.
  6. Click Save.

To create and manage a Data monitoring rule

You cannot perform any operation on a rule while it is running.

  1. On Asset Console, click Asset Automation Console, and then click Data Monitor.
  2. Click New monitoring rule.

  3. Enter the name and description of the Data monitoring rule. 
  4. From the Class list, select the asset class to which your rule applies.
  5. From the Frequency list, select one of the following values:
    • Daily: The rule runs daily at a predefined time.
    • Weekly: The rule runs weekly on a predefined day.
    • Monthly: The rule runs monthly on a specific date.
  6. Select a priority for the rule.
  7. In Criteria, click Add an expression.

  8. In the Edit expression window, enter an expression for the criteria.
    For example, NAME != $NULL$
  9. Click OK, and then click Save.
  10. (Optional) To edit a rule, select the rule from the table, and then click 1758299446527-548.png and then click Edit.
  11. (Optional) To delete a rule, select the rule from the table and then click Delete.
  12. (Optional) To disable a rule, select the rule from the table and then click Disable.
    When you disable a rule, it transitions to the Inactive status, and it does not run.  When you enable a rule, it reverts to the Active status.
  13. (Optional) To run a rule manually, select the rule from the table, and click 1758299446527-548.png and then click Run now.
    Each run of a Data monitoring rule displays up to 50 CIs with inconsistent or incomplete details. We recommend that you resolve these issues before rerunning the rule to view the next set of CIs with such issues.
    When you run a Data monitoring rule, if it does not display any CIs, we recommend that you broaden the rule filters.
    For example, the Laptop monitor rule is configured with a filter to identify the laptops that have wrong or incomplete identification numbers, and are manufactured by Calbro, Inc. When the rule is run, it does not display any results because the organization does not have laptops manufactured by Calbro, Inc. He edits the filter to include the laptops from other manufacturers as well.

To export a Data monitoring rule

You can download Data monitoring rules to a .CSV file for offline analysis.

  1. On Asset Console, click Asset Automation Console, and then click Data Monitor.
  2. Select the rule from the table, and then select one of the following options:
    • Export all rows: To export all Data monitoring rules in the table.
    • Export selected row: To export the selected Data monitoring rule.
      (Optional) Alternatively, select a rule from the table and click Export all rows.

To view the results of a Data monitoring rule

After a Data monitoring rule runs successfully, you can view the list of CIs that match the rule's criteria.
Use Filter to narrow your search for finding CIs based on column names. You can download the CI list in .CSV file for offline analysis.

  1. On Asset Console, click Asset Automation Console, and then click Data Monitor.
  2. Select the rule from the table, and then click 1758299446527-548.png , and then click View results.
    The Rule results window is displayed with the following details:
    ColumnDescription
    CI NameDisplays all CIs that match the criteria defined in the rule. 
    CI IDDisplays the unique CI identification number.
    ClassDisplays the class of the CI that is configured in the Data monitoring rule.
    StatusDisplays the status of the CI.

  3. Click a CI to view more details in BMC Helix CMDB and investigate further.
