Managing contracts through the Contracts console
To show or hide a column from the Contracts console
- In the Contracts console, click Visible columns.
- Perform one of the following steps:
- To show a column, select the check box corresponding to the column name.
- To hide a column, clear the check box corresponding to the column name.
To filter contracts by using an out-of-the-box filter and sub-filter
You can use the out-of-the-box filters and sub-filters in the Contracts console to filter the contracts. For example, you can use the Contract Type and Department filters to filter contracts of a specific type and department.
If you specify additional filters after applying a preset filter, the contracts are filtered according to both the preset filter and the additional filters you specify.
After filtering the contracts, you can narrow the search results further by entering a keyword in a search box. The keyword search is performed on the Contact ID, Summary, and Supplier columns.
To filter contracts based on the out-of-the box filters and sub-filters, perform the following steps:
- Click Filter and select the filters and sub-filters you want to apply.
You must select a minimum of two filters. - Perform one of the following actions:
- To apply the selected filters, click Apply filters.
- To cancel the filter selection and view the contracts according to the previous filter, click Cancel.
- To clear the selected filters but retain the displayed search results, click Clear.
- To clear the selected filters and search results, click Remove all.
To filter contracts by using a preset filter
A preset filter is a combination of various filters that helps you filter contracts in the Contracts console.
The Contracts console provides the following out-of-the-box preset filters:
- Contracts close to expiration
- All contracts
- Maintenance contracts
You can also create custom preset filters based on the existing preset filters.
If you apply a preset filter along with some additional filters, the results are displayed according to both the preset filter and the other applied filters.
To filter contracts based on a preset filter, click the preset filter from the list of preset filters.
To edit an out-of-the-box preset filter
- From the preset filter list in the Contracts console, select the out-of-the-box preset filter under System presets.
- Click Visible columns and select or clear the check boxes next to the columns you want to show or hide.
The Edited label is displayed next to the name of the preset filter to indicate that the preset filter is edited. - To discard the changes, click the More button
and click Discard changes.
To create and manage a custom preset filter
You can create a custom preset filter, rename the filter, share the filter with other users, and delete a filter.
You can share a custom preset filter with a maximum of 100 users.
- To create a custom preset filter, perform the following steps:
- From the preset filter list in the Contracts console, select the preset filter based on which you want to create a custom preset filter.
- Click Visible columns and show or hide the columns you want in the preset filter.
- Click Save as.
- In the Save as dialog box, specify a name for the custom preset filter, and click Save.
The custom preset filter is available under Created by me.
- To rename a custom preset filter, perform the following steps:
- Select the custom preset filter, click the More button and click Rename.
- In the Rename dialog box, specify a new name for the preset filter and click Save.
- Select the custom preset filter, click the More button and click Rename.
- To share a custom preset filter from your preset filter list, perform the following steps:
- Under Created by me, select the custom preset filter.
- Click the More button and click Share.
- In the Share view preset dialog box, specify the name of the user with whom you want to share the preset filter, and click Add.
You can also specify the login ID or email address of the user. - Click Save.
The preset filter you shared with others is flagged with This preset is shared with other users.
- To share a preset filter that is shared with you, perform the following steps:
- Add the preset filter to your preset filter list.
For more information, see Adding a preset filter shared with you to your preset filter list. - Perform step 1 to save the preset with another name.
- Perform Step 3 to share the preset filter with another user.
- Add the preset filter to your preset filter list.
- To delete a custom preset filter, perform the following steps:
- Select the custom preset filter, click the More button and click Delete.
- On the confirmation message, click Yes.
If you delete a preset filter that you shared with other users, it is also deleted for all those users.
To add a preset filter shared with you to the preset filter list
If a user shares a preset filter with you, it is added to the Add shared view presets dialog box. To use the preset filter that is shared with you, you must first add it to your preset filter list.
If you delete a preset filter shared with you, it is deleted from the preset filter list and not from the Add shared view presets dialog box. You can add it to the preset filter list anytime later.
- From the preset filter list in the Contracts console, click Add shared view presets
next to Shared with me.
The Add shared view presets dialog box shows the list of preset filters shared with you, along with the name of users who shared them. - Select the preset filter you want to add and click Add.
The preset filter is added under Shared with me in the preset filter list.
To sort by columns in the Contracts console
You can sort one or more columns simultaneously in the Contracts console. You can also specify the sort order for the columns.
- In the column header of the column you want to sort, click one of the following options:
- Click
to sort the column in an ascending order.
- Click
to sort the column in descending order.
- Click
- To sort another column, click the More button on that column header.
- Click Ascending or Descending to sort the column in your preferred order.
- In the Sort order list, select the order in which you want to sort the column.
For example, if you select 2 of 2, the selected column is sorted after the 1 of 2 column is sorted. - Repeat steps 2 through 4 for the columns you want to sort.
To view or edit a contract
If you edit a contract on a new page, click Refresh Console in the Contracts console to view the changes.
- To view a contract, in the Contracts console, click its contract ID.
- To edit a contract, perform one of the following steps:
- In the Contracts console, click the More button corresponding to the contract and click Edit record to edit the contract.
- When viewing a contract, click Edit
on the contract page to edit the contract.
To view the related contracts and CIs of a contract
- To view the related contracts of a contract, click the More button corresponding to the contract and click View related contracts.
The Related contracts dialog box shows the related contracts and provides the following options:- Filter: To filter the related contracts.
- Export: To export the related contracts to a .csv file.
- Visible columns: To show or hide columns from the Related contracts dialog box.
- To view the related assets of a contract, click the More button corresponding to the contract and click View related CIs.
The Related CIs dialog box shows the related assets and provides the following options:- Filter: To filter the related assets.
- Export: To export the related assets to a .csv file.
- Visible columns: To show or hide columns from the Related CIs dialog box.
To export the contracts to a .csv file
- In the Contracts console, select the check boxes corresponding to the contracts that you want to export.
- Click Export and click CSV.
The selected contracts are exported to a .csv file.
