Editing services with Catalog Curator


As a catalog administrator, you ensure that catalog service details are aligned with your business needs. You refine services by updating parameters as required and keep the service catalog up to date from time to time. Utilize the Edit with AI capability in Catalog Curator, which offers a conversational interface, reduces manual effort during editing, and minimizes errors. With natural language prompts, you can efficiently update service profiles, questionnaires, and translations while maintaining version history and alignment with the catalog lifecycle.

Scenario

Apex Global’s IT department offers a Software Installation Request service in the Digital Workplace Catalog. Hannah, the catalog administrator, receives feedback that the service excerpt needs to be updated to clarify the approval process.

Hannah logs in to the Catalog console and selects Software Installation Request from the list of services. She clicks the Edit with AI button. The Catalog Curator editor view opens, and the interface displays three buttons: Edit Attributes, Edit Profile, and Edit Questionnaire.
Hannah clicks Edit Profile. The Catalog Curator responds with a summary indicating which parameters can be edited and which cannot, using icons and tooltips.
In the prompt field, Hannah enters:
Change the service excerpt from "Request software installation for business needs" to "Request software installation; manager approval required for all submissions."
Catalog Curator​​​​ updates the excerpt parameter and asks Hannah to confirm. She makes additional edits in the same way and, at the end, reviews and enters an assertive reply: Let us save.

Considerations for editing services with Catalog Curator

When you want to modify any service by using the Catalog Curator, consider the following:

  • You can edit only services in Draft status; you cannot modify published services.
  • Any changes you make are saved to a Draft and do not affect the current published version.
  • The changes you request during the chat are not individually versioned. Versioning applies only when a draft is published and ensures alignment with the catalog lifecycle.
  • You can edit specific service parameters by using Catalog Curator. Unsupported fields are clearly indicated with icons and tooltips. For more information, see the list of parameters supported for editing services.
  • You can edit only question types that are supported for Catalog Curator. For more information, see List of supported questions.
  • Translations are supported for all locales available in the catalog, enabling updates to service content in multiple languages.

Before you begin

  • Make sure that the Catalog Curator is enabled. To configure this setting in the Catalog console, select Application settings > Catalog curator. For more information, see  Enabling and configuring the Service Catalog Curator.
  • Make sure that the administrator has configured the AI Service Editor view that gets launched on clicking the Edit with AI button. For more information, see Enabling and configuring the Service Catalog Curator.
  • Confirm the service is in Draft status; published services cannot be edited with AI.

Upgrade considerations: After upgrading, enable the feature by turning on the Catalog curator setting and you can validate the view URL for AI Service Editor. For more information, see To configure the URL for the AI Service Editor view.

Service editing capability is supported by the out-of-the-box Catalog Curator skill and agent called Catalog Service Curator. For more information, see Enabling and configuring the Service Catalog Curator and Creating and managing agents by using the Agent Studio Editor.

To edit a service with Catalog Curator

  1. Log in to the BMC Helix Digital Workplace Catalog console as a catalog administrator.
  2. From the navigation panel, select Services > Services.
  3. Locate the service you want to edit and click Edit with AI to launch the AI Service Editor view.

  4. Click one of the following buttons to select the section you want to modify or enter the modification prompt text manually:

  5. Review the Catalog Curator's response, which summarizes the editable and non-editable parameters.
    Non-editable parameters are indicated by icons and tooltips.

  6. Enter natural language prompts to modify the specific parameters you want.
    For example, Change the service name to "Onboarding New Employees."
    Information
     Important

    When you request to edit a conditional question, Catalog Curator responds with a warning icon to indicate potential dependencies, if any. It does not automatically update or resolve conditional logic.

  7. Confirm your changes by responding with an assertive reply, such as 'Looks good.'

    The service draft is updated with your modifications.

 Important
  • You can switch to a different section and edit its parameters without leaving the current chat session.
  • If you want to modify a specific question, include its question ID in the prompt. For example, Change the label of Q5 to "Section".
  •  If you want to rollback the changes, enter the prompt: Revert changes.
  • You can verify all modifications by opening the latest service version in the Catalog console.
  • ​​​You can save changes incrementally, either after each edit or all at once when you finish editing the service. You can use the "Save changes" prompt.

Working with translations while editing services

For translations, specify the section and the locale in your prompt. You can translate only one section type at a time, such as questionnaire text, service profile content, or service attributes. You can verify the translation modifications in the following way:

  • Service attributes: Translations that you add by using Edit Attributes, such as service name, verify by opening the corresponding service and selecting the specified language.

  • Service profile: Translations that you add by using Edit profile in Catalog Curator appear in the Catalog profile. To verify them, go to Catalog Profile > Edit > Language. Select Languages, select the language you used during translation in Catalog Curator, and the translated content is displayed in the panel.

  • QuestionnaireTranslations that you add by using Edit Questionnaire in Catalog Curator appear in the Question Designer interface. To verify them, go to Workflow > Edit > Questions > Edit > Language. Select Languages, select the language you used during translation in Catalog Curator, and the translated question text is displayed in the panel.

Examples of prompts for editing services

The following examples demonstrate how you can use natural language prompts to edit service parameters:

- Remove the “Purpose of Visit” question.
- Add a required field asking for the manager’s name.
- Translate the question label for Q3 to Spanish.

Troubleshooting

IssueDescription
The Edit with AI button is not available.Verify that the selected service is in Draft status and confirm that the capability is enabled in your environment.
Changes are not saved.Ensure you confirm edits before exiting the editor. Closing the editor without saving discards all changes.
Gemini, JSON errorsIncompatibility with Gemini and invalid JSON responses may occur. A suggested workaround is to use Azure OpenAI and increase the token limits.

A warning icon with an error message is displayed when editing a conditional question in a service questionnaire.

Error 1

When editing conditional questions in a service questionnaire, the Catalog Curator checks for any dependencies on other questions. If a change affects a conditional question, a warning icon appears to indicate potential dependencies. Catalog Curator does not automatically update, remove, or resolve conditional logic. Consider the following key points:

  • The warning icon indicates that the question is linked to conditional logic.

  • If you try to save changes with a warning, Catalog Curator prompts you to review and resolve the conditions before confirming.

  • Best practice: Review all dependent questions and conditions manually in the Questions Designer of the Catalog console to ensure the questionnaire functions as intended.
