Creating services with the Service Catalog Curator


Creating a catalog service requires a comprehensive understanding of business requirements and technical exposure to the BMC Helix Digital Workplace Catalog. As a catalog administrator, utilize AI capabilities to reduce service creation complexity and significantly save time. Service Catalog Creator, powered by BMC HelixGPT, simplifies this process and expedites service creation.

Scenario

Hannah, a catalog administrator at Apex Global, wants to design a catalog service for Guest Wi-Fi by using the Service Catalog Curator. She enters the following prompt for the Catalog AssistantCreate a service for Apex Global, Guest Wifi Access scenario with manager approval, work order fulfillment, and localization in Canadian French.

Service Catalog Curator starts designing a service. It generates a summary, including service parameters, a service profile with localized tags, an out-of-the-box best practice workflow, and a service questionnaire.

Hannah wants to adjust some of the questionnaire's default parameters. For example, the Service Catalog Curator keeps the ​​​​Purpose of Visit field as optional.
She enters a prompt: I want to make the Purpose of Visit a required field.

The Service Catalog Curator considers her input and presents a modified format with the service parameter list. She can verify the details and ask for necessary changes.

The curator asks for her confirmation. After she confirms by typing Looks good, the Service Catalog Curator creates a service and provides a Service ID in the chat. The newly created service is available in the Draft state. Hanna can edit other service parameters not considered in the AI service definition.

She fine-tunes the service to suit her business requirements and publishes the Guest Wi-Fi service to make it available for end users.

Before you begin

  • Services require templates for creation; if no templates are available in the catalog, the system displays an error message. Before you generate a new service, ensure that you have created the necessary service templates. For more details about templates, see Managing service type templates.
  • Make sure that service categories are added. For more information, see Adding and updating service categories.
  • To enable localization capability in the Service Catalog Curator, turn on the toggle for the multilanguage settings. In the Catalog console, go to Application settings > Service Catalog > Multi-language

  • To understand the parameters supported by the Service Catalog Curator, refer to Service parameters for the Service Catalog Curator.
  • Make sure that you have configured the active connector in the default connection. To configure this setting in the Catalog console, go to Application settings > Connectors > Default Connections. For more information, see Configuring service connectors.

To create a service by using Service Catalog Curator

  1. Log in to BMC Helix Digital Workplace Catalog.
  2. Select Services> Services.
  3. On the Service Management page, navigate to the My Services tab.

  4. Click Catalog Assistant to access the Service Catalog Curator.
    The Service Catalog Curator window is launched.

  5. (Optional) Click Guide Me if you want to learn how to enter prompts and understand the steps involved.
  6. Enter the prompt for the service you want to create.
    For example, Create a service for requesting a new laptop. It should use the IT Request template and may require versioning. This service requires manager approval and should generate a work order on request.
    Important: Providing templates and categories in the prompts is optional.
    The Service Catalog Curator presents a structured, tabular response summarizing all service details before final confirmation.

    Important: The Service Catalog Curator currently does not support document-type questions or media, so you might see blank boxes for these fields.

    Review the summary and give instructions for any modifications required via chat. 
    For example, Change the value of the Max Quantity from 5 to 4. Also change the price to $1200.

    Important: If you want to change the service name, ensure the new name is unique and does not conflict with existing services in the catalog. If you attempt to change the version of the service and request the same name, the service will not be created.

  7. Verify that all the details are appropriate and according to your requirements.
    Important: You can edit your input before confirming the summary, but you cannot make changes after the Service Catalog Curator creates a service. You can continue your chat with up to 30 questions within a single conversation session as a default setting. If you want to increase this limit, contact your administrator.
  8.  Enter a clear response to confirm in the chat; for example, you can confirm by using any of the responses, such as Looks good, I confirm or Looks fine.
    Important: Before final confirmation, make sure to review all the service parameters are displayed in the latest response.
    The Service Catalog Creator generates a service and shares a service ID:

  9. To view a newly generated service, select Services> Services> My Services.
    On the Service Management page, a list of catalog services is displayed, where you can find a new service available in Draft state.

  10. (Optional) You can open the AI-generated service and adjust the options that were not considered or supported when it was generated via the Service Catalog Curator.
  11. Fine-tune the settings according to your requirements and save the service configuration.

Troubleshooting

If the Service Catalog Curator is unable to create a service with the requested prompt and shows an error, consider the following possibilities:

You enter some value that exceeds the recommended limits or differs from the configured syntax.The Service Catalog Curator chat displays an appropriate error message. Make the necessary changes and proceed.
A service creation flow is interrupted while generating a service and fails to complete creating the service draft.Enter any assertive reply, such as Create service or Looks good, to resume the service creation. 

A service creation fails if you request a service name that already exists or if the workflow name is already in use.

You can delete an existing service or workflow with the same name to create it again from the Service Catalog Curator.
The summary does not display the translations for the questionnaire questions. You can enter a prompt explicitly asking the agent to add the localized details. The Service Catalog Curator will then present the complete summary for your review.
