Creating subtenants from a record instance


As an administrator, you configure multitenancy to restrict end user access to a specific company. Multitenancy also provides the ability to restrict the configuration data to a specific company.

Customers who are subscribed to BMC Helix Digital Workplace create subtenants from the BMC Helix Innovation Studio UI. 

Important

You cannot use the multitenancy feature and the External Users feature at the same time.

  • If you configure multitenancy, the External Users menu is not available in the Administration console.
  • If you have already configured external users, you cannot use multitenancy as a Managed Service Provider (MSP)

How multitenancy works in BMC Helix Digital Workplace

The following table describes how the default subtenant and subtenants work:

Tenancy

Description

Default subtenant

  • The first tenant that you create is the default subtenant.
  • The default subtenant is associated with a company in BMC Helix ITSM. Administrators who are members of the default subtenant company can set and modify provider settings from the BMC Helix Digital Workplace Admin console.

Subtenant

  • After you create the default subtenant, all the subsequent tenants are subtenants.
  • If you want to create multiple subtenants, you create a record instance each time you want to create a subtenant. A subtenant is also associated with a company in BMC Helix ITSM. Subtenants use the provider settings from the default subtenant. 


Before you begin

Make sure you complete the following tasks before creating subtenants:

To create subtenants

  1. As an AR System administrator, log in to BMC Helix Innovation Studio
  2. From the Workspace tab, click Digital Workplace.
  3. On the Record Definitions tab, select the check box for SubtenantCreate and click Edit data, as shown in the following image:

  4. In the New Record panel, in the Name Field, type the name of the subtenant that you want to create.
    Make sure that the name is the same as the one you created in Action Request System earlier. The other fields are populated automatically. 

    The following image shows an example of creating the Apex Service subtenant:

  5. Click Save.


To verify tenant creation

  1. As a MyIT super administrator, log in to BMC Helix Digital Workplace Administration console. 
  2. Select user icon > Company access
  3. In the Company picker, verify that the tenant is created, as shown in the following image:

To verify tenant creation from the BMC Helix Innovation Studio UI

  1. As an AR System administrator, log in to BMC Helix Innovation Studio.
  2. On the Workspace tab, click Digital Workplace.
  3. On the Record Definitions tab, select the check box for Subtenant and click Edit data.
  4. Verify that a record definition instance is created as shown in the following image:
