Managing automation jobs


In BMC Helix ITSM, you can create jobs to apply automation rules on multiple assets and create asset relationships. When you run these automation jobs, the associated automation rules are triggered, and the action is applied to the relevant assets. 

You can view the list of jobs and their associated automations in Automation job console. You can also create new jobs, view job logs, apply filters, and export the jobs to a .CSV file for detailed analysis. 

 

Automation job console

You can enable the additional columns from Visible columns.
Use Filter to narrow your search for finding jobs based on column names.

You can view the following information about jobs:

Column

Description

Job name

Displays the name of the created job.

Rule

Displays the rule associated with the job. 
When you run a job, the associated rule is implemented in Asset Management to automate specific repetitive tasks, such as creating people relationships, updating asset location, and more.

Status

Displays the status of the job based on its run.
A job can have New, In Progress, Completed, Cancellation Requested, or Cancelled status.
You can cancel Jobs with In Progress status only.

Progression

Displays the number of assets on which the rule has been implemented so far.

Date

Displays the date and time of the last job run.

Additional columns

ID

Displays the identification number of the job.

rule ID

Displays the identification number of the rule associated with the job.

To view details of a job, navigate to Asset Console > Asset automation console > Automation job console, select the job and click View details.

To create a new job

Create Asset automation jobs to apply Asset automation to your existing assets retroactively. 

  1. In Asset Console, click Asset automation console.
  2. Select Automation job console > Create new job.

  1. Select the automation for which you want to create the job.
  2. Enter a name for the job.  
  1. (Optional) To add additional qualifications to the selected automation, click Add qualification.

    Tip

    By adding additional qualifications, you can restrict the scope of the job to a smaller subset of the assets than applying the job on a large dataset.

  2. (Optional) Enable the Remove relationships previously created by the selected automation key to remove any asset relationships that were created by the selected automation.
    This option is helpful for removing older asset relationships and create new ones.
  3. Click Preview and verify the details of the job.
  4. Click Run Job.
    Asset automation displays a confirmation box, and the job is listed in the automation job console.

 

To view job logs

View the timestamp of a job run, the rule associated with the job, and the error that showed up when the job was run. You can export the job logs in a .CSV file for analysis.

  1. In Asset Console, click Asset automation console.
  2. Click Automation job console.
  3. Select the job for which you want to view the log, and click Access logs.

  4. Select the timestamp for which you want to view the log.
    The timestamp details and the Job tab are displayed.

  5. (Optional) Click the Rule or Action tab to view more details.
  6. (Optional) Click Export, and then select CSV from the Export all rows section.
    The .CSV file is downloaded in your system.
  7. (Optional) To download a specific timestamp, select a timestamp, click Export, and then select CSV from the Export selected row section.

 

To cancel a job

You can cancel jobs that are in In Progress status only. You cannot cancel completed jobs. 

  1. In Asset Console, click Asset automation console.
  2. Click Automation job console.
  3. Select the job that you want to cancel and click Cancel.
  4. In the Cancel job window, enter the reason for cancelling the job, and click OK.

 

To export jobs

  1. In Asset Console, click Asset automation console.
  2. Click Automation job console.
  3. Click Export, and then select CSV from the Export all rows section.
    The .CSV file is downloaded in your system.
  4. (Optional) To download a specific job, select the job, click Export, and then select CSV from the Export selected row section.

 

Tip: For faster searching, add an asterisk to the end of your partial query. Example: cert*
