Automating tasks by using Asset automation


Use Asset automation to create rules and streamline tasks to manage your assets more accurately and efficiently.

Asset automation enables you to create rules that automate repetitive tasks, such as establishing people relationships and setting locations and contracts for assets. These rules apply to multiple assets, reducing the number of rules needed for multiple-asset actions. This simplification of asset assignments not only maximizes the effect of automation but also makes maintenance and troubleshooting more manageable in the long run.

Asset automation is not a replacement for the Bulk Update feature in Asset Console. See Performing bulk updates.

Scenarios

Consider the following aspects when you plan your Asset automation strategies:

Your company has acquired a new company, and is expanding. As a part of the expansion, the helpdesk support team, which is responsible for workstations and mobile device support, is being expanded into groups based on their geographical locations, such as North America Help Desk, Asia Help Desk, and Europe Help Desk.

You can create an automation rule to create the new entries and use any existing rule to clear all the existing records.

Your company has purchased 30 assets: 10 laptops, 10 UPS, and 10 printers. You must assign these assets to the manager of the IT Services team, change their location, and relate them to Email Business Service.

You have already configured automation rules in Asset automation to automatically create the people relationship, update the asset's location, and relate the asset with other assets. The assets are automatically updated as soon as they are reconciled and are available in BMC Helix ITSM: Asset Management. By automating these actions, you can significantly reduce the time required to maintain the assets.

Required permissions

To create an automation, you must have Asset admin permissions along with the Asset Automation Admin functional role.

Best practice
Consider the following best practices when using Asset automation:

  • For better management and performance, create rules to automate the repetitive tasks in your asset management process.
    For example, you can create the Windows Operating System rule, the rule applies to multiple assets, and you can make all the relevant assignments within it.
  • Use asset automation rules for repetitive tasks.
  • Use Asset Console to perform one-time bulk updates.

  • For better maintainability and troubleshooting, consider creating rules with a broader scope. Fewer rules, more actions.
  • For better accuracy and scalability, create actions for a specific use case. For example, do not assign a Database Support Group to a Computer System asset type through the Supported by people relationship. Instead, assign the Database Support Group to the Product or Software Server asset type record for the database software itself.
