Updating company and location for CIs


The location structure for Helix ITSM: Asset Management is a hierarchy that is established in the foundation data of BMC Helix ITSM. This hierarchy is defined as Company, Region, Site Group, and the Site. The organizational foundation data must be present in Helix ITSM before you can assign Assets to a location. A BMC Helix ITSM Administrator can view, edit, and create this hierarchy as described in Creating sites and other locations.



Important

  • If you are using software license management, you must specify the company for Product asset types. If you do not specify the company, the Product will not be related to a software license certificate. Other fields might be required for some license types, for example, the Site field is required for matching with a Site license.
  • Location information is specified at the Company level. Depending on the Company the CI belongs to, the available selections might differ in the subsequent Location fields.
  • If the status of an asset in In Inventory, the asset location is automatically set to the Inventory Location.

To view and update an asset's company and location data

The Company, Region, Site Group, and Site fields are dynamic fields that support auto-complete. This allows you to freely type a value in the field, and it will match the possible selection options for you to select from.

  1. In Asset Console, open the asset that you want to view or modify.
  2. You can view the Company, Region, Site Group, and Site fields on the asset details page.
    In the following example, the Company is set to Petramco. However, Region, Site Group, and Site data is not configured.image-2024-4-2_14-9-44.png
  3. To modify the location details, click the pencil icon (Edit).
  4. In Company, type the company name and select from the available options.

  5. Update the Location information as required.
    The available selections for the Location information depend on the individual user's access privileges and the selected company for the asset.image-2024-4-2_14-16-32.png
  6. In Floor and Room, enter details that will help the end users locate the asset easily. For example, Floor: 7, Room: Mailroom.image-2024-4-2_14-22-49.png
  7. Click Save.
    The changes go through BMC Helix CMDB reconciliation process before getting reflected in BMC Helix ITSM: Asset Management. The reconciliation process usually takes a few seconds.
