Requiring approver confirmation for request approvals and rejections


Users defined as approvers can approve and reject business requests by clicking the Approve or Reject button on the approval request. By default, no additional confirmation messages are displayed to approvers. As an Action Request System (AR System)  administrator, you can require approvers to provide a password or a comment in the BMC Helix Digital Workplace end user console before they perform any action on an approval request.


To prompt approvers to enter a password before they change a request

  1. Log in to AR System as an administrator.
  2. Select Quick links > Approval Administration Console.
  3. On the Process tab, select a process definition.
  4. In the Process Definition form, select Yes from the Require Password? list of the corresponding process.
  5. Click Save.

If BMC Helix Digital Workplace is not integrated with BMC Helix Single Sign-On (BMC Helix SSO), the Password field is displayed to users when they perform any action on the request (approve, reject, put on hold, and reassign).  

If BMC Helix Digital Workplace is integrated with BMC Helix SSO, the BMC Helix SSO login page is displayed to users when they attempt to perform any action on the request. 


To prompt approvers to enter a comment before they reject or approve a request

  1. Log in to AR System as an administrator.
  2. Select Quick links > Approval Administration Console.
  3. On the Process tab, select a process definition.
  4. In the Process Definition form, under Require Justificationselect one of the following:
    • To require a comment only when a user rejects a request, select To Reject.
    • To require a comment only when a user approves a request, select To Approve.
    • To require a comment when a user either approves or rejects a request, select To Approve or Reject.
  5. Click Save.

After you apply this setting, the Comment field is displayed on approval requests when approvers click the Reject or Approve button, as appropriate.
