Configuring how approval requests are displayed in BMC Helix Digital Workplace end user console


You can configure which approval details are visible to approval requesters and approvers. By default, BMC Helix Digital Workplace displays the approver name and the approval status in the details of an approval request. As an administrator, you can reset the default settings. You can also configure a cross-launch option for the approval requests. With this option enabled, approvers can open the approval requests in the applications that generated the approval requests.


To configure approval details display

If you have aDWP Advanced icon.pngBMC Helix Digital Workplace Advanced license, the following configuration options also affect BMC Helix Digital Workplace Catalog services.

  1. In the BMC Helix Digital Workplace Admin console, navigate to Configuration > Approval.
  2. In the Approval details section, select applicable options.
  3. Click Save.

Click the setting name to view the description:

Select this check box to enable the requester to see the approval details section in service request details. This section is always visible to an approver.

The following screenshot shows service request details with the approval details section on the requester's side:

Select this check box to enable the approver to see the service description field in service request details. This section is never visible to a requester.

To enable and configure approval connections

Important

To be able to view the approval request details in an integrated application without providing credentials, configure the integration with BMC Helix Single Sign-On.

  1. In the Admin console, navigate to Configuration > Approval.
  2. In the Approval Connections section, select and configure applicable options.
  3. Click Save.

Click the setting name to view the description:

Enable approvers to view change request approval details in BMC Helix ITSM: Smart IT. Use this format for the URL: https://SmartITserver:port/smartit/app/change/{id}

When the cross-launch is enabled, the View link is displayed in the Additional approval details section, as shown in the following image:

Enable approvers to view case approval details in BMC Helix Business Workflows. Use this format for the URL: https://caseURLfromTheCaseLibrary/{id}

To be able to view the case, the approver must be assigned to the following group and roles in BMC Helix Business Workflows:

  • The Support group that is used for a case template.
  • The associated Functional roles (for example, FoundationRead and Case Agent).

Enable approvers to view release approval details in BMC Helix ITSM: Smart IT. Use this format for the URL: https://SmartITserver:port/smartit/app/release/{id}

When the cross-launch is enabled, the View in SmartIT link is displayed in approval details, as shown in the following image:

To be able to view the approval request, the approver must be assigned to the following group and roles in BMC Helix ITSM: Smart IT:

  • The Request User permission to see the Release approval record.
  • Belong to the same Support Group as the Release record submitted for approval.

To hide the case progress bar

If you have aDWP Advanced icon.pngBMC Helix Digital Workplace Advanced license, you can hide the progress bar in the details view for all cases. 

  1. In BMC Helix Digital Workplace Catalog, click the configuration gear (Gear) to open the Application Settings panel.
  2. Turn off the Show case progress view toggle.
  3. Click Save.
