Exporting custom record data from your application

As an administrator, use the Data Management Console to export the custom record data in bulk from your BMC Helix Innovation Studio application.

During data export, in Data Management Console, you can select data from records and associated records, filter the data that you want to export, and preview the list of data before exporting the custom records to your local machine.  

To export custom record data

  1. Log in to BMC Helix Innovation Studio and navigate to the Workspace tab. 
  2. Click the Data Management Console application. 
  3. Click Visit deployed application.
  4. On the Export tab, click New export.

  5. On the New Export page, enter the information in the following fields:

    Field

    Description

    Name

    Specify the name of the export request.

    Description

    Provide a description.

    Add definition

    Click and add the record definition you want to include in the export. You can include multiple record definitions.

    Definition

    Select whether this item is a record or an association.

    Fields

    Select the fields of the record definition that you want to include in the export. This option is available only if you have selected the Record definition.Important:

    • Make sure that you select all the required fields in the record definition.
    • The export behavior is different for each type of field as shown in the following list:
      • The confidential data field is exported only if the functional role has access to confidential data.
      • Attachment, Boolean, Date, Date/Time, Decimal, Floating, Integer, Text, Time, Selection fields are exported as is.

    Data filter

    You can apply a filter to include only specific data in the export. Click the Click to build an expression link and type the expression used to filter the data.

    Preview

    Select to preview the custom data that will be included in the export.

  6. Click Save.

To download the export data

  1. Log in to BMC Helix Innovation Studio and navigate to the Workspace tab. 
  2. Click the Data Management Console application. 
  3. Click Visit deployed application.
  4. On the Export tab, select the export request from the list.
  5. Click the exported file name in the Export output file column.

The exported data is downloaded as a ZIP file. 

The Status column on the Export tab displays the status of the exported data. To view the status message, click View in the Status message column.
