Specifying phase and sequence for task and task group templates in the dataload spreadsheets


For a task or a task group template that is associated with a change template, you can now enable phase management and sequencing, if required. If you load the task group templates by using Data Management, you can also define the sequence of tasks within a task group template.

To enable the phase management and sequence for tasks in a change template

With the enhancements in the Change_Process_Setup.xlsm spreadsheet, you can perform the following operations for the task or task group template that is associated  with a change template:

  • Relate the Review, Business Approval or Implementation phases to the task or task group template. 
  • Provide a sequence in which the task templates appear in a change form when you apply the change template.

For example, you have the following three task templates related to a change template.

  • Task template 1
  • Task template 2
  • Task template 3

You want to relate Task template 2 and Task template 3 to the Business Approval phase with the following sequence.

So, when you provide these values for a change template in the spreadsheet, and then create a change request by applying this change template, the Task Template tab on the change form displays the task or task group templates by relating them to the phase defined and in the sequence set in the spreadsheet. In this example, when the request moves to the Business Approval phase, Task template 3 will appear first followed by Task template 2. 

If you do not provide a sequence for the tasks in the spreadsheet, the system sets the value of task sequence to 1.

You can enter a set of values and load the data for a change template by using Data Management.

  1. Download the Change_Process_Setup.xlsm spreadsheet.
  2. On the TMS_LoadAssociationTemplate tab:
    1. In the Phase column, enter the phase to which you want to associate the task or task group template.
    2. Enter the numbers in the Sequence column to define the sequence for the task template, for example, 1, 2, 3, and so on.

  3. Save and attach the spreadsheet to the Data Management job and run the job.

To define the sequence of the tasks in a task group template

You can now provide a sequence to the tasks in a task group template by performing the following steps.

  1. Download the Task_Process_Setup .xlsm spreadsheet.
  1. O n the TMS_LoadAssociationTemplate  tab, enter the numbers in the Sequence column to define the sequence for the task template, for example, 1, 2, 3, and so on.

  1. Save and attach the spreadsheet to the Data Management job and run the job.
