Enabling and configuring Asset console

The BMC Helix Innovation Studio based Asset console uses a Custom Record Definition (CRD) to fetch data from multiple record definitions and display them in a single record view. As an administrator, you can customize Asset Console CRD to add custom fields, and add source record definitions to display a custom asset class in Asset console. You can also customize the interface by customizing the views. Customize the views to update presets, add new columns to the grid, make the columns sortable and filterable, and so on.

The following video (3:01) shows how to add a new column to the asset console.

To enable or disable the Innovation Studio based Asset console

Warning

Important

  • From version 23.3.00, the BMC Helix Innovation Studio-based Asset Console appears by default for new customers. To view the classic Asset Console, you must set the value of the enableISAssetConsole CCS parameter to FALSE.
  • The presets created for the classic Smart IT Asset console are not migrated to the BMC Helix Innovation Studio based Asset console. You must create custom presets for the new Asset console.

You can enable or disable the BMC Helix Innovation Studiobased Asset console by following the below steps:

  1. In a browser, enter the following URL address to access the AR System:
    http://midTierServer:portNumber/arsys/
  2. Select AR System Administration > AR System Administration Console.
  3. Select System > General > Centralized Configuration.
  4. From Component Name, select com.bmc.arsys.smartit > *.
  5. Enter enableISAssetConsole in the Setting Name column.
  6. Perform one of the following steps:
    • Enter true in the Setting Value column to enable the Asset console
    • Enter false in the Setting Value column to disable the Asset console.

To specify the columns where you want to apply the Keywords filter

The Keywords filter in Asset Console filters the records based on the keywords that a user specifies. The Keywords filter is applied out of the box to the CI Name, Product name, and Description columns in Asset Console.
However, you can customize the Keywords filter to apply to your choice of columns.

  1. In BMC Helix Innovation Studio, on the Workspace page, click Applications, and then click ITSM Application.
  2. On the Records tab, click Asset Console CRD.
The column names of Asset Console are displayed under the Field Name column.
  3. Note the field IDs of the columns on which you want to apply the Keywords filter and make sure that the columns are of the Text data type.
  4. Open Asset Console.
  5. Perform one of the following steps:
    • If you have enabled BMC Helix ITSM navigation bar based on BMC Helix Innovation Studio, click the Settings icon in the navigation bar.
    • If you have disabled BMC Helix ITSM navigation bar based on BMC Helix Innovation Studio, click More, and then click Innovation Studio Configuration.
  6. In the left pane, click Common Configurations, and then click General.
  7. On the General page, expand Asset console configuration.
  8. In the Asset console fields ids for keywords filter field, specify the field IDs you noted in Step 3.
To specify multiple field IDs, use a comma (,) as the separator between the field IDs.

  9. Click Save.

To define implicit or explicit usage of wildcards in the Keywords filter

The percent symbol (%) is used as a wildcard for filtering records by keywords. By default, the keyword you specify is automatically followed by the percent (%) wildcard, and records that begin with the keyword in the CI name, Product Name or Description are filtered.

You can specify whether you want to implicitly add the percent (%) wildcard after a keyword or allow users to manually type the percent (%) wildcard in the format they want with a keyword.

  1. Open Asset Console.
  3. In the left pane, click Common Configurations, and then click General.
  4. On the General page, expand asset console configuration.
  5. Set Add trailing wildcard to keywords filter on asset console to any of the following options:
    • Turn On (TurnOn_Button.png): Automatically adds the percent (%) wildcard after a keyword when a user specifies the keyword. For example, <keyword>%.
By default, Add trailing wildcard to keywords filter on asset console is turned On.
    • Turn Off (TurnOff.png): Allows users to manually type the percent (%) wildcard in the format they want with the keyword. For example, %<keyword>%, %<keyword>, and <keyword>%.
      1742214312934-532.png

Note: If you disable this setting, users must manually type the percent (%) wildcard in the format they want with the keyword.

Customizing Asset Console views

In BMC Helix Innovation Studio, a view definition is a graphical representation of an application. The BMC Helix Innovation Studio based Asset Console uses view definitions or views that define the console's user interface. You can customize a view by arranging the data items in a specific order or showing only specific items. To customize the out-of-the-box views, you must create a new view by copying a default view.

You can access the views from the Manage Views section under Screen Configuration in Innovation Studio Configuration in BMC Helix ITSM. The default views are displayed inside the placeholder views in the Manage Views section. For example, Asset Console is a placeholder view for the main interface of Asset Console. Default Asset Console SM is the actual view that defines the console's interface. When you copy this default view, the copied view name is displayed inside the placeholder view.

To add a column to the Asset console record grid

Warning

Important

When you add a column to Asset console, make sure that the Actions column is placed at the end in both the record grid as well as view presets, such as Computers managed by me and Printers, to which you add the new column.

Any newly added field or any field that is not visible in the Asset console must be added to the Asset console record grid to make it visible in the Asset console.

  1. In the customized view that you created by copying a default view, click Edit.
  2. Select Record grid > Properties > Edit grid columns.
  3. In Available columns, click  image2022-9-27_14-53-58.png <column name>.
  4. In Selected Columns, select properties of the new column.
    record_grid_column_edit.png
  5. Click Save.

You can customize the Asset console record grid by adding columns to the grid, enabling sorting, filtering of the columns, and so on. For more about information about record grid, see Creating a tabular view of record instances by using a record grid

To edit the properties of Shared Ticket Console record grid columns

  1. In the customized view that you created by copying a default view, click Edit.
  2. Select the Record grid > Properties > Edit grid columns.
  3. Expand the column that you want to edit.
You can modify the following column properties:

    Property

    Description

    Column header

Specifies the header of the column. By default, the field name is displayed as the column header. If required, modify the column header.

    Visible

Enables the column visibility on the view. Clear this property to hide the column.

    Sortable

Enables the sorting of the columns.

    Searchable

    Enables searching in the columns.
Important: The Searchable option is not applicable for the Contact Full Name and Customer Full Name out-of-the-box columns.
Therefore, if you are using these columns in your custom views, you cannot perform a text-based search on these columns in the Shared Ticket Console.

    Wrap text

Enables text wrapping. You can also align the text.

    Filterable

Enables filtering of the columns. You can select from the following options:

    • Always - Available in both advanced and basic filters
    • In advanced filter mode only
    • In basic filter mode only
    • Never - Not available for filtering

Important: While the filterable setting for most of the fields can be customized, some fields, such as Approved By and Created by, are built-in and should not be customized. These fields are relationship-based rather than direct database columns, and, therefore, do not appear as columns in the console UI. For details, see Filterable fields and recommended settings.

    Alignment

Enables text content to be aligned to the left, to the right, or centered.

    Width

Sets the width of the column.

  4. Click Save.

To customize view presets

You can edit the defined filters in the view presets or add any new field to the view presets. For example, you can edit the Status filter in the Printers view preset to show the printers in inventory instead of the printers deployed.

  1. In the customized view that you created by copying a default view, click Edit.
  2. Select Record grid > Properties > Edit view presets.
  3. Expand the preset that you want to modify.
  4. Click Edit grid columns.
    Edit view presets.png

To add new fields to the custom record definition

  1. Click New Field in Asset Console CRD, and select the required datatype for the field.
  2. In the Details section, provide the following details for the field:

    Field

    Description

    (Optional) Named List

Select the named list that you want to associate with the record field.

    Description

Enter the description for the record field.

    (Optional) Field ID

Enter the field ID for the field. If you leave this field blank, the field ID is generated automatically.

    Name

Enter the name of the record field.

  3. In the FIELD MAPPINGS section, click Add/Remove Field Mappings, select the source record definition, and from the Source Field list select the source field that you want to map the newly added field.
At runtime, the newly added field displays the data from the field that you selected from the Source Field list.
  4. Click Save

Selection fields provide users with a group of options from a list. A selection field can be for a single selection or for multiple selection. To add field mapping for selection fields, see Creating or modifying custom record definitions.

To avoid duplicate entries when you add an asset class

If you add an asset class to the source record definition, you must exclude the class from being queried in Base Element to avoid the duplicate entries in the console.

  1. From the menu bar in BMC Helix ITSM, select Configuration > Innovation Studio Configuration.
    configuration.png
  2. In the Settings pane, select Asset Console Configuration > Classes Excluded from Base Element.
  3. Click Add new setting.
