Add an ad hoc to-do task to an onboarding request

While working on an onboarding request, an onboarding manager can add an ad hoc to-do task with or without using a template for a new employee. With this feature an onboarding manager can assign actionable ad hoc items to the requester from the Onboarding portal.

As an Onboarding Manager, view the statistics for onboarding requests in the Onboarding Manager Dashboard. The dashboard helps managers track the status of onboarding requests, check for past-due tasks, and take appropriate actions to ensure successful onboarding.

Access the Onboarding Portal from BMC Helix Business Workflows

As an Onboarding Manager, access the Onboarding Portal from BMC Helix Business Workflows. Managers can navigate between the Onboarding Portal and BMC Helix Business Workflows without accessing a separate URL, thus enhancing the user experience.

View cases corresponding to the onboarding requests from the Onboarding Portal

As an Onboarding Manager, open the case corresponding to an onboarding request by clicking the Case ID in the request.

The Onboarding Manager doesn't have to navigate to the BMC Helix Business Workflows application separately; therefore, saving time and benefitting from a seamless user experience.

View audit logs for onboarding requests

As an Onboarding Manager, view audit logs for an onboarding request and track changes made to the fields in the onboarding request. You can view the changes made to the request in the audit logs, but not the changes made to the individual tasks.

Filter onboarding requests in the Onboarding Portal

As an Onboarding Manager, filter onboarding requests by applying the available out-of-the-box filters from the Advanced filter option. The filters help you search for onboarding requests by specific country, department, employment type, joining title, date, location, and organization.

Define qualifications to map templates for creating cases from onboarding requests

As an Onboarding Manager, map templates to define qualifications for creating onboarding requests. When the defined expressions match a template, that template is used to create a corresponding case for the onboarding request in BMC Helix Business Workflows.

When you map templates based on query expressions, it provides greater flexibility to map qualifications with the appropriate templates.

Create a new employee record while creating an onboarding request

While creating an onboarding request, a record for the new employee must be available in the CTM:People form. If the record is not available, the onboarding manager can create a record while creating the onboarding request. 

The Onboarding Manager no longer has to wait for the record to be created in the Foundation data before raising an onboarding request.

View task statistics of onboarding requests

Task statistics

As an Onboarding Manager, view the following statistics for onboarding tasks and filter the records based on the statistics:

  • Upcoming, active, and completed tasks
  • Tasks in the review and approval stages
  • Tasks with breached Service Level Agreements (SLAs)
  • Tasks and to-dos with past due dates

Filtering the tasks and tracking the completion of the onboarding request provides you with quick tracking tools, improving your productivity.

Track the SLA of an onboarding task

As an Onboarding Manager, track the SLA status and progress of a to-do task by viewing the progress of the task.

The SLA bar helps understand whether the task is being completed within the time specified in the SLA defined for your organization. You can take the required action for the tasks that are on priority or might be breaching the SLA.

Manage the voluntary separation of exiting employees using the offboarding solution

HR Service Management offers an end-to-end offboarding experience for exiting employees, managers, and HR to complete all tasks for the voluntary separation of an exiting employee. The solution contains out-of-the-box content use cases for offboarding, automates HR and other interdepartmental processes, and integrates with different lines of business, such as Finance, Workspace, IT, Legal, and other peripheral systems.

The content use cases contain case templates, corresponding task templates, Flowsets, task categories, named lists, and template mapping that are required to create offboarding requests and raise alumni requests.

When an employee resigns, the offboarding process provides out-of-the-box tasks that make it easier for all departments to complete activities for a smooth transition of the exiting employee.

Cater to the requests from your former employees through the Alumni Service Center

HR Service Management provides an interface for your former employees to contact the HR team for any assistance they might need after separating from the company. 

 Former employees can raise the following requests from the Alumni Service Center:

  • Employment verification letter
  • Final settlement inquiry
  • Request for financial statements
  • General inquiry

The out-of-the-box requests are the commonly-requested items, which will help the former employees submit their requests quickly and efficiently. Moreover, former employees can also stay in touch with the company by viewing the company LinkedIn group, access the career portal, and view the company news and FAQs in the Alumni Service Center. Access the New Hire Portal from mobile devices to complete new hire tasks

A new employee can access the New Hire Portal from a mobile device and complete preboarding formalities, such as completing to-dos, and adding comments to tasks to interact with the team.

Use out-of-the-box HR-related attributes in HR case workflows

HR business partner (BP) attributes can be stored in the Person extension record definition in the case library of BMC Helix Innovation Studio. The Person extension record definition is a custom record definition that can be used for extending the fields in the CTM:People form.

As a case business analyst, you can use the HRBP attributes that are available in the Person extension form in case workflows, such as notifications and approvals.

An administrator can use the out-of-the-box PersonExtension_Template.xlsx template to import the HRBP attributes from your HR content management (HCM) tool into the Person extension record definition. Importing the HRBP attributes gives you the flexibility to use them in case workflows, without accessing the HCM tool.

For example, an administrator imports the HR related attributes from the Oracle database into the Person extension record definition. After importing the attributes, a case business analyst with the HR line of business uses the attributes in the onboarding and offboarding workflows. The case business analyst also uses them to define approvals in the offboarding workflow when an employee resigns from the current position.
