Additional functional roles


Other than Case Business Analyst, Case Manager, and Case Agent as primary functional roles, BMC Helix Business Workflows also supports secondary functional roles. The primary functional roles also include the responsibilities of some of the secondary functional roles. When you are assigned a particular secondary functional role, you get specific permissions and access to carry out particular assignments smoothly. This topic describes different secondary functional roles and their responsibilities which are available in the application.

Note

BMC Helix Business Workflows does not support functional roles such as Multi-cloud Service Owner and Unrestricted access. These roles do not enable any additional functionality or data access in BMC Helix Business Workflows even if you assign the roles to a user.

Case Catalog Administrator

A case catalog administrator has the following responsibilities:

  • Create a service catalog that defines services specific to BMC Helix Business Workflows that users can use to raise requests.
  • Provide services to groups of employees so that they can view services to which they are entitled.
  • Review statuses of service requests.

A Case Catalog Administrator functional role enables agents to create services in the BMC Helix Digital Workplace Catalog that are specific to BMC Helix Business Workflows. From the BMC Helix Digital Workplace Advanced client application, when employees use these services to submit their requests, corresponding cases are created in BMC Helix Business Workflows.

Access to BMC Helix Digital Workplace Catalog

A case catalog administrator can navigate to Manage Catalog to perform the following tasks in BMC Helix Digital Workplace Catalog:

  • Create workflows
  • Create questionnaires and attach them to the required workflow
  • Create and publish services
  • Provide services to specific groups of employees
  • Review the status of service requests that employees raise

The Case Catalog Administrator functional role maps to the Sub-Catalog Administrator role in BMC Helix Digital Workplace Advanced.

Mapping between Case Catalog Administrator and Internal Supplier Administrator

By default, the Case Catalog Administrator functional role in BMC Helix Business Workflows is an Internal Supplier Administrator inBMC Helix Digital Workplace Advanced. When you access BMC Helix Digital Workplace Catalog from BMC Helix Business Workflows, you can only create and view services for BMC Helix Business Workflows. If you want a full access to BMC Helix Digital Workplace Catalog, you need to log in to BMC Helix Digital Workplace Advanced and access BMC Helix Digital Workplace Catalog.

Document manager

Every tenant is assigned a document manager, who can add and manage documents in the document library. For a case business analyst, the Document manager functional role is provided out-of-the-box. You can assign the Document manager functional role to a case manager or case agent.
As a document manager, you can perform the following tasks:

  • Add, modify, or delete documents in the document library
  • Provide document read access to other support groups or companies

A user must be a document manager to add or edit documents in the document library.
