Enabling search on dynamic data, attachments, and social activities for cases and tasks from Global Search


By default, when a user searches for terms in the Global search, the results display case records that include the term in the Summary and Description fields. As an administrator, you can enable search on dynamic data, attachments, and social activities in cases, and attachments and social activities in tasks. If the file is of the type .jpeg, .pdf, .png, .txt, or .json, the user can preview the file in the preview pane. 

The search displays results of records in the following order:

  1. Summary
  2. Description
  3. Dynamic data
  4. Attachments
  5. Social activities

You can enable search for entities through separate settings for cases and tasks.

To enable search for cases

  1. Log in to BMC Helix Business Workflows as an administrator.
  2. Select Settings > Case Management > Search Configuration.
  3. To enable search for entities, click the name of the configuration.
  4. On the Edit Search Configuration page, change the Value to Active.
  5. Click Save.

Important
Full Text Search (FTS) is not enabled out-of-the-box for case attachments. After enabling search on the attachments record, you must manually enable FTS indexing for attachment fields by navigating to Innovation Studio > Case Management Service > Records> Case Attachments > Add/Remove Search Fields and selecting the required fields.

To enable search for tasks

  1. Log in to BMC Helix Business Workflows as an administrator.
  2. Select Settings > Task Management > Search Configuration.
  3. To enable search for entities, click the name of the configuration.
  4. On the Edit Search Configuration page, change the Value to Active.
  5. Click Save.

Important
After enabling search on the attachments record, you must manually enable FTS indexing for attachment fields by navigating to Innovation Studio > Task Management Service > Task Attachments > Add/Remove Search Fields and selecting the required fields. If you do not complete this step, attachment content will not be searchable, even though attachment search is enabled.
