Creating and reusing out-of-the-box content use cases for lines of business


As a case business analyst, you can create content use cases for your lines of business. You can also copy an existing out-of-the-box content use case and modify it to suit your business requirements. When you copy the use cases, all related content, such as configuration data and related objects, is copied to the target line of business. You can also view the content that can be copied for a content use case before you copy it. You can only copy a single use case at a time.

Example

You can create a custom content use case for New Hire Onboarding in the Apex Global Human Resources line of business. You can copy the same content use case from the Apex Global company to the HR line of business of another company and reuse the artifacts in the use case.

An administrator can also export a content use case to reuse it in a different environment. Learn about exporting content use cases in Importing-and-exporting-content-packages.

Source and target for copying content use cases

Copy a content use case from a source line of business to the following combination of target line of business and company:

Before you begin

  • Make sure that you have access to the source and target lines of business to create and copy the use cases.
  • Make sure that the objects that are referred to in the views that you want to copy, such as record definitions, processes, and documents, have Scope = Public in the source line of business.

To create or modify content use cases for lines of business

  1. Log in to BMC Helix Business Workflows.
  2. Click Settings image2022-4-29_16-38-19.png.
  3. Select Content Management > Manage Content.
  4. From the Line of Business list, select the line of business for which you want to define the watchlist.
    If you have access to a single line of business, the line of business is selected by default.
  5. To create a new use case, click + Use Case.
    To modify a use case, open the use case .
  6. In the Content Use Case pane, click Next.
  7. In the Use Case Name, specify a name for the content use case.
    For example, "Request for Visa letter."
  8. In Use Case Description, provide a description for the use case.
    For example, "This use case captures the end-to-end workflow to request Visa letter.
  9. Click Next.
  10. Click +Content.
    Add the use case data such as case templates, task templates, Flowsets, notification templates, email templates.
  1. In the Add Content Data pane, in the Select content type, select the content data type that you want to create.
  2. Select the items that you want to add to the use case.
  3. Click Save.
  4. To add objects, such as documents, record definitions, and processes, click +Object.
  5. In the Add Content Objects pane, in the Select object type, select the content object type.
  6. Select the content objects that you want to add to the use case.
  7. Click Save.
  8. Click Done.

Your use case will be saved with the selected elements.

To copy content use cases

  1. In BMC Helix Business Workflows, click Settings Settings icon.png.
  2. Select Content Management > Manage Content.
  3. Select a content use case from the list of use cases.
  4. Click Copy.
  5. Select a target line of business and a target company.
  6. Select the target owner group.
  7. Click Copy.
    When a use case is recopied, the contents are merged.
  8. Click Close.

To use the copied content use cases for a different line of business

After you copy content use cases to a different line of business and company, you must modify the content use cases to use them.

  1. Change the references in the views to point to the target line of business and remove the references to the source line of business.
  2. If processes have references to custom record definitions, update them manually to point to the target line of business.
  3. Catalog items in the copied view point to the case templates from the BMC sample lines of business. To point the Catalog items to the case template in the target line of business, complete the following steps:
    1. Copy the workflow and questionnaire from the Catalog.
    2. Create a new Service Catalog.
    3. Point the Catalog to the copied case template in the target line of business.
  4. Update the URL in notification templates for emails and alerts that navigates to a view as per the target line of business.
  5. For the following views, change the referenced record definition to the target line of business:

    • Self Declaration Form Create
    • Self Declaration Form Preview

    When you confirm the change to the target line of business, fields and components in the record are removed. You must add the fields and components as they were in the source line of business in the target line of business.

To view the run history of a content use case

  1. In BMC Helix Business Workflows, click Settings Settings icon.png.
  2. Select Content Management > Manage Content.
  3. Select a content use case from the list of use cases.
  4. Click Run History.
  5. View the details of the content use case.
