Enabling approvals


As an administrator, you can enable people to approve specific types of requests in the application. For example, you can enable change request approvals to so that end users in BMC Helix Digital Workplace can view and respond to such approvals. 

If you do not enable approvals in the BMC Helix Digital Workplace Admin console, the approvals can still be configured through Approval Central in Action Request System and a workflow is created in BMC Helix Digital Workplace Catalog; see Workflow-to-request-approval.

Some approvals can also be done through BMC Helix ITSM: Smart IT; see Viewing approvers for a change request.





Types of approvals

The following table lists the types of approvals:

Change request

Approvals at different stages of the change request lifecycle.

Example: Apex Global has discovered that a mission-critical server is almost reaching capacity, so it must be replaced by a model with more capacity. The Change Manager initiates a change request to replace the server.

Rich Text Format is supported for the Notes and Comments fields.

To view Rich Text Format data in change approvals, perform the following steps:

  1. Ensure that the Rich Text Format (RTF) option is enabled in BMC Helix ITSM to view the RTF data during the change approval process.
  2. In BMC Helix Digital Workplace, configure the necessary settings to Helix ITSM pluggable provider.

Releases

Approvals to track milestones through the entire lifecycle from the initial milestone through its closure.

Example: Apex Global must install a new payroll service by a certain date. The release coordinator initiates a release request to install the new application.

Service request definitions (SRD)

Approvals for each stage of deployment of SRDs.  An SRD is a service offering that is created for the service catalog.  

Service requests

A service request is an offering that is generated from an SRD.  When an SRD is created, the Approval Type option is specified, which defines the approvals required for the service request that a user submits.

Knowledge

Approvals when the status of a knowledge article enables or disables access for end users, or the status transition of a knowledge article before its status is set to Published, Retired, or Cancelled.

Purchases

Approvals for purchase requisition for new items that an employee has requested or licenses for organizational needs. 

Digital Workplace Catalog requests

Approvals for services defined in the BMC Helix Digital Workplace Catalog.

Others

Approval requests generated from the following custom applications:

  • Developed by using Developer Studio
  • Developed by using Developer Studio and and integrated with Approval Central.




To configure BMC Service Request Management approvals

Important

Starting with the 21.3.02 patch, BMC announces changes related to the availability of BMC Service Request Management that might affect your use of BMC Helix Digital Workplace.

You can configure BMC Service Request Management approvals of the following types:

  • Person — Sends an approval request to any user defined in the People form regardless of the requester's manager.
  • Manager — Sends an approval request to a manager based on the specified management level.
  • Group — Sends an approval request to group members defined as a support group with the approval permission.
  • Custom — Sends an approval request as defined in a custom approval chain.

To enable approval types

  1. In the BMC Helix Digital Workplace admin console, navigate to Configuration > Approval.
  2. In the Approval types section, select the approval type for which you want to enable requests.

  3. Click Save.

    A confirmation message is displayed that the settings are saved successfully.
