Setting up end-user preferences
Data collection consent
BMC Helix Digital Workplace collects anonymous telemetry data such as automatic events, clicks, or page navigation to gain insights into product usage, product performance, and optimizing the product capabilities. By default, data collection is enabled for SaaS customers. When you log in for the first time see the following notification message about data usage:
When the administrator modifies the data collection settings, you get subsequent notifications. To learn more about the administrator settings, see Enabling self-help and product telemetry through Gainsight PX.
You can modify the consent for data collection at any time.
Before you begin
If you want to add your job title, primary work email, and primary work phone number, make sure that the administrator has enabled the User profile data editing (work details) setting. For more information about this setting, see Enabling-end-user-features.
To set your preferences
- Log in to BMC Helix Digital Workplace.
- On the navigation bar, select the user icon and then click Preferences.
- To add your profile picture, click Edit Photo as shown in the following image and upload the picture:

Add your basic details.
A warning message is displayed when a user has not added a primary work email ID or primary phone number. After they're defined, the primary email ID or phone number cannot be deleted from the system.
Posts
Connect with your colleagues by performing the following steps:
- Click New post.
- In the text box displayed, enter the content and click Add post.
- (Optional) In your content, you can add attachments, people, group, resources, and hashtags.
Social
- Find and follow people
Important: Updates from the people you follow are displayed in the Posts timeline. - Create groups and add people to groups
- Find existing groups and follow them
- Find and follow locations
- Find and follow assets
Important: You can specify locations and assets only if you are using
BMC Helix Digital Workplace Advanced.
Approval settings
Add alternate approvers who can take actions on approval requests assigned to you. Perform the following steps:
- Click Manage approvers.
- In the Manage alternate approvers dialog box, click Add approver.
- In the Add approver dialog box, search for the required user and then select them.
The selected user is added as an approver in the Manage alternate approvers dialog box. - In the Starts and Ends fields, specify the duration for which the selected user can manage your approval requests.
- Click Save.
- After you have added all the alternate approvers, click Close.
Notification settings
Use the following available options to enable notifications for different events:
- In-app notifications—Select the toggle key to receive notifications.
- Approvals—Select the Email or Push toggle key to receive notifications about any open approval request.
- Requests—Select the Email or Push toggle key to receive notifications about the status of your approval requests and related messages.
- Social Activity—Select the Email or Push toggle key to receive notifications from the people you follow.
- Feedback—Select the Email or Push toggle key to get notified about requests that are completed recently.
- Update—Select the Email or Push toggle key to get notified about the service health items.
Important: The Update notification is available only withBMC Helix Digital Workplace Advanced.
Language
Select the language that you prefer.
Location
Set up your home location.

Collaborator
Create a default collaborator group by adding people to the group, and share service requests with the group automatically or manually.

Analytics and improvements

Use the toggle key to enable or disable data collection, as shown in the following image:

Status change and approval notifications
If you have the rights to take actions on an approval request, you receive the following notifications depending on the notification type you select:

If you submit a service request, you receive the following notifications depending on the notification type you select:

Completed | You receive a status change notification (Completed) that the submitted service request was implemented and completed. |
Closed | You receive a status change notification (Closed) that the submitted service request was closed. |
Canceled | You receive a status change notification (Canceled) that the submitted service request was canceled. |
Failed | You receive a request status change notification (Failed or Fault) based on the service request workflow. |
