Setting up end-user preferences


As an end user, you can set up your profile and other preferences in the product. These preferences help you use the product as per your convenience and get the latest details about your service requests. Additionally, you can socialize with other users or groups on various topics from within the product and work with other users or teams on service requests.

Data collection consent

BMC Helix Digital Workplace collects anonymous telemetry data such as automatic events, clicks, or page navigation to gain insights into product usage, product performance, and optimizing the product capabilities. By default, data collection is enabled for SaaS customers. When you log in for the first time see the following notification message about data usage:

When the administrator modifies the data collection settings, you get subsequent notifications. To learn more about the administrator settings, see Enabling self-help and product telemetry through Gainsight PX.

You can modify the consent for data collection at any time.

Important

  • External users (self-registered users) cannot modify their consent for data collection. By default, data collection is always enabled for them.
  • If the administrator disables data collection, the banner notification and Analytics and improvements settings in User preferences are not displayed. 
  • If you are an end user with administrator permissions, you can disable data collection for the end-user console only. Anonymized telemetry data is collected from the Admin console and Catalog by default.


Before you begin

If you want to add your job title, primary work email, and primary work phone number, make sure that the administrator has enabled the User profile data editing (work details) setting. For more information about this setting, see Enabling-end-user-features


To set your preferences

  1. Log in to BMC Helix Digital Workplace.
  2. On the navigation bar, select the user icon and then click Preferences.
  3. To add your profile picture, click Edit Photo as shown in the following image and upload the picture:

  4. Specify the details for the following preferences:

    Add your basic details.

    A warning message is displayed when a user has not added a primary work email ID or primary phone number. After they're defined, the primary email ID or phone number cannot be deleted from the system.

    Posts

    Connect with your colleagues by performing the following steps:

    1. Click New post.
    2. In the text box displayed, enter the content and click Add post.
    3. (Optional) In your content, you can add attachments, people, group, resources, and hashtags.

    Social

    • Find and follow people
      Important: Updates from the people you follow are displayed in the Posts timeline.
    • Create groups and add people to groups
    • Find existing groups and follow them
    • Find and follow locations
    • Find and follow assets

    Important: You can specify locations and assets only if you are using DWP Advanced icon.pngBMC Helix Digital Workplace Advanced.

    Approval settings

    Add alternate approvers who can take actions on approval requests assigned to you. Perform the following steps:

    1. Click Manage approvers.
    2. In the Manage alternate approvers dialog box, click Add approver.
    3. In the Add approver dialog box, search for the required user and then select them.
      The selected user is added as an approver in the Manage alternate approvers dialog box.
    4. In the Starts and Ends fields, specify the duration for which the selected user can manage your approval requests.
    5. Click Save.
    6. After you have added all the alternate approvers, click Close.

    Notification settings

    Use the following available options to enable notifications for different events:

    • In-app notifications—Select the toggle key to receive notifications.
    • Approvals—Select the Email or Push toggle key to receive notifications about any open approval request.
    • Requests—Select the Email or Push toggle key to receive notifications about the status of your approval requests and related messages.
    • Social Activity—Select the Email or Push toggle key to receive notifications from the people you follow.
    • Feedback—Select the Email or Push toggle key to get notified about requests that are completed recently.
    • UpdateSelect the Email or Push toggle key to get notified about the service health items.
      Important: The Update notification is available only with DWP Advanced icon.pngBMC Helix Digital Workplace Advanced.

    Language

    Select the language that you prefer.

    Location

    Set up your home location.

    Important: This functionality is available only with DWP Advanced icon.pngBMC Helix Digital Workplace Advanced.

    Collaborator

    Create a default collaborator group by adding people to the group, and share service requests with the group automatically or manually.

    Important: This functionality is available only with DWP Advanced icon.pngBMC Helix Digital Workplace Advanced.

    Analytics and improvements

    (Visible if the administrator has enabled data collection)

    Use the toggle key to enable or disable data collection, as shown in the following image:

Status change and approval notifications

If you have the rights to take actions on an approval request, you receive the following notifications depending on the notification type you select:

Status notification type

Notifications for end users

Waiting for your approval

You receive a notification that they need to approve a service request submitted by another end user.

Alternate approver

If you have the alternate approver rights, you receive the following notifications:

  • The original approver creates a new delegation rule and delegates the potential requests to an alternate approver.
  • The original approver modifies the date or the time period of an active delegation rule.
  • The original approver cancels an active delegation rule.
  • The original approver changes the alternate approver in an active delegation rule. In this case, both alternate approvers (the initial one and the new one) receive notifications.

Messages on requests

The approver of service A receives a notification if the requester, alternate user, IT agent, or collaborator (DWP Advanced icon.png) comments on service A.

Messages on requests after an approve/reject action

If the approver disables this feature and approves or rejects a service request, further notifications related to commenting on this request are not sent.

Important

In-app approval notifications are sent only for the following request types:

  • BMC Helix Digital Workplace Catalog service requests
  • BMC Service Request Management service requests
  • BMC Helix Business Workflows cases
  • BMC HR Case Management cases
  • Change requests


If you submit a service request, you receive the following notifications depending on the notification type you select:

Status notification type

Notifications for end users

Submitted

You receive the following notifications:

  • Request status change notification (Draft or Initiated) based on the service request workflow.
  • Ordered request notification for all submitted service requests.

In Progress

You receive a request status change notification (Pending or In Progress) based on the service request workflow.

Waiting approval

You receive a request status change notification (Waiting approval) that the submitted service request is waiting for approval.

Rejected

You receive a request status change notification (Rejected) that the submitted service request was rejected by the approver.

Completed

You receive a status change notification (Completed) that the submitted service request was implemented and completed.

Closed

You receive a status change notification (Closed) that the submitted service request was closed.

Canceled

You receive a status change notification (Canceled) that the submitted service request was canceled.

Failed

You receive a request status change notification (Failed or Fault) based on the service request workflow.
