User management


BMC Helix Dashboards leverages BMC Helix Portal for single sign-on authentication and user management. You add users and user groups in BMC Helix Portal. These users are automatically synced to BMC Helix Dashboards where you assign roles and permissions to them for accessing the dashboard content.

You cannot view, modify, or delete users or user groups in BMC Helix Dashboards. You must log in to BMC Helix Portal as a tenant administrator to perform these user management tasks.

How users and user groups are synced from BMC Helix Portal

The following users and user groups are synced from BMC Helix Portal to BMC Helix Dashboards:

User groups are synced as teams in BMC Helix Dashboards. A team includes multiple users, and a user can belong to multiple teams. You can manage access for these users and teams in BMC Helix Dashboards.

Users and groups synced from BMC Helix ITSM

Users and companies that you create in BMC Helix ITSM are synced to BMC Helix Portal. These companies, including their users, are synced as organizations in BMC Helix Portal and are added to the Licensed User group. For more information, see Syncing users from BMC Helix ITSM.

These organizations are synced to BMC Helix Dashboards as teams. Any change that you make to an organization in BMC Helix Portal is automatically synced to BMC Helix Dashboards, and the corresponding team is updated.

Important

  • Only the users who have the fixed, floating, or bundled BMC Helix ITSM license types are synced.
  • Users who have the read license type are not synced. If such a user wants to access BMC Helix Dashboards, assign a role with the required permissions to the user.

Users and groups synced from the LDAP server

As a tenant administrator, you can use the LDAP sync agent to sync users and groups from the LDAP server in your organization into BMC Helix Portal. For more information, see Syncing LDAP groups and users.

These users and groups are then automatically synced to BMC Helix Dashboards.

How users and teams are used for role-based access

As a reporting administrator, you can assign out-of-the-box system roles or custom roles to users in BMC Helix Dashboards. Each role includes specific permissions that determine what operations a user can perform, such as viewing or editing dashboards.

To simplify access management, you can assign roles and permissions to teams instead of individual users. All team members inherit the assigned permissions.
