Users and Report Scheduler Statistics


As a tenant administrator, use the Users and Report Scheduler Statistics dashboard to monitor the user activities and report schedules for all the dashboards across the tenant. The dashboard provides the following information:

  • Count of users and schedules
  • Active and inactive users and schedules
  • Type of schedules and reports
     
Scenario

Jordan is a tenant administrator at Apex Global. He wants to track user activities and report schedules for all dashboards created across the tenant.

On the Users and Report Scheduler Statistics dashboard, he notices a high number of inactive email schedules. He checks the details of these schedules and informs the schedule creators to take appropriate action, such as removing or updating them.

To view the dashboard

  1. Log in to BMC Helix Portal as an administrator.
  2. Open BMC Helix Dashboards.
  3. From the navigation menu, click Dashboards.
  4. Search for the Helix Dashboards Administrator folder and select it.
  5. Click Users and Report Scheduler Statistics.
    The Users and Report Scheduler Statistics dashboard is displayed.

User statistics

PanelsDescription

Total users

Displays the total count of users in your organization.

Active and inactive users

Displays the bar chart that indicates the count of active and inactive users.

  • Active users: Users who performed some activity in the last 30 days. Click anywhere on the bar to view details of all the active users in the User Information dashboard.

  • Inactive users: Users who did not perform any activity in the last 30 days. Click anywhere on the bar to view details of all the inactive users in the User Information dashboard.
    ​​​​​​In the Login user column, click the login name of a user to view their user permissions in the Dashboard and Folder Permissions dashboard.

Scheduler statistics

PanelDescription

Number of schedules

Displays the count of active and inactive report schedules across all the dashboards in your organization. Click the active or inactive count to view the details of the corresponding schedules.

Distribution of reports by schedule type

Displays the pie chart that includes the distribution of email and FTP schedules by count. The distribution is also displayed as a percentage.

  • Hover over the Email or FTP section of the pie chart to view the corresponding count.
  • Click the pie chart to view the data links for email and FTP schedules. Click these links to view the details of email and FTP schedules.

Distribution of schedules by report type

Displays the pie chart that includes the distribution of report schedules according to the type of report formats, such as PDF, XLSX, HTML, or HTML

  • Hover over a type on the pie chart to view the count for the type.
  • Click the pie chart to view the data links for each of the report types. Click these links to view more details of report types.

Top 5 users by reports created

Displays the bar chart that includes the top five users based on the count of report schedules created.

 

Active and inactive schedules 

View the following details of active and inactive schedules:

Column name

Description

Schedule name

Click a schedule name to view its details.

Dashboard name

Click a dashboard name to open it.

Created by

Name of the user who created a schedule.

Created date

Date and time when a schedule was created.

Last updated date

Date and time when a schedule was last updated.

Report type

Type of report, such as PDF, XLSX, HTML, or CSV.

Schedule type

Type of schedule, such as email or FTP.

Last run status

Status of the recent run of the schedule, such as Success or Failure.

Description

Description of the last run, such as Successfully broadcasted report and Successfully prepared job.

You can filter table column values and sort them by clicking a table column.

Status of a schedule, such as active or inactive.

Tip: For faster searching, add an asterisk to the end of your partial query. Example: cert*
