Broadcasting reports through email


As a reporting reporting user, if you are assigned multicast permissions, you can broadcast reports through email to single or multiple recipients.

Do the following:

  1. Log in to TrueSight Smart Reporting - Platform.
  2. Open the report that you want to broadcast, and click broadcast_icon.png on the main navigation bar.

    Note: Co-display reports must be unsecure

    If you are planning to broadcast co-display reports to external email addresses, ensure you set the main report and the co-display report to Unsecure.

  3. Click Create New and select Broadcast.
  4. In the Recipients field, do one of the following:

    Important

    If the administrator has enabled the feature to add email addresses in the CC list, the report is sent to multiple recipients in a single email, with all email addresses added in the CC list. In this case, all recipients can view all email addresses. For more information, see Configuring-report-broadcasts-to-be-sent-with-recipients-in-the-CC-list.

    • Select a single or multiple users for whom the email address is already set.
      • Do the following to auto populate email addresses in the selection list

        To enable this feature in TrueSight Smart Reporting - Platform, perform the following tasks:

        1. In TrueSight Server Automation, set the value of REPORT_EMAIL_ADDRESS* property for the user for which you want to auto populate the email address:
          1. Log on to the TrueSight Server Automation Console with a user with the RBACAdmins role.
          2. Navigate to RBAC Manager > Users folder.
          3. Select the user for which for which you want to auto populate the email address.
          4. In the Properties panel, open Extended Properties.
          5. Set the value of the REPORT_EMAIL_ADDRESS* property to the email address.
        2. In TrueSight Server Automation - Data Warehouse, set the value of the ENABLE_EMAIL_ID_FOR_REPORTING_USER property to true:
          1. Log on to the host where TrueSight Server Automation - Data Warehouse is installed.
          2. Open the generic_configuration.properties file with a text editor.
            This file typically resides in the following directory:
            (Windows) <tssadw_installation_directory>\shared\ConfigurationManagement
            (Linux) <tssadw_installation_directory>/shared/ConfigurationManagement
          3. Set the value of the ENABLE_EMAIL_ID_FOR_REPORTING_USER property to true:
            ENABLE_EMAIL_ID_FOR_REPORTING_USER=true
        3. Apply a hotfix on TrueSight Smart Reporting - Platform version 20.02.02. To obtain the hotfix, contact BMC Support. 

        After you cross-launch to TrueSight Smart Reporting - Platform, email addresses are auto populated.

      • Do the following to set email addresses manually

        a. Use the following URL to open the TrueSight Smart Reporting - Platform login page:

            https://<TrueSightSmart Reporting hostname>:port/tsr

        b. In the Log in as list, select TrueSight Smart Reporting - Platform - Admin.

        c.  In the User Name and Password fields, enter the TrueSight Smart Reporting - Platform administrator credentials.

        d. Click LOG IN.

        e. In the upper right corner, click your profile, and click Admin Console.

        f.  If sites are added or configured in the system, select TrueSight Server Automation - Data Warehouse.

        g. Click Login.

        h. Click the menu icon in the upper left corner, and then click Administration > Admin Console.

        i.  Click the Users section.

        j.  Click a user for which you set the email address.

        k. Add the email address and click Update User.

    • Type in a single or multiple external email addresses and press Enter.
  5. Enter a subject and an email body for your broadcast.
  6. Select the format that you want the report to be sent as. Depending on the report type, the following options are available: 

    • HTML
    • PDF—Use the Secure PDF checkbox to password-protect your PDF files. You can specify a password yourself, use the one created when exporting the file, or use a default password generated by the system. You can also use the Append Broadcast Date checkbox to include the current date in the document name.
    • CSV—Use the Append Broadcast Date checkbox to include the current date in the document name.
    • DOCX —Use the Append Broadcast Date checkbox to include the current date in the document name.
    • XLSX—Use the Append Broadcast Date checkbox to include the current date in the document name.
    • Text—Use the Append Broadcast Date checkbox to include the current date in the document name.
  7. If your report contains filters, select the filters in the User Prompts Filters field.

    • Default Filter Values
    • Current Filter Values
    • Bookmarks
  8. Select one of the following delivery types:

    • Continuous Schedule—The report is always be delivered based on the selected schedule. 
    • Alert-based broadcast—The report is delivered based on the selected schedule, if the results match the alert rules.

      Do the following to add delivery rules:
      1. Click Add Alert Delivery Rules.
      2. Create a rule based on one of the following conditions:
        • One or more rows must match. For example, is there a transaction less than $1000.
        • Aggregate against entire result set. For example, are the total sales less than $100000.
      3. Click Add Field and select the field that you want to apply the condition on. You can add multiple conditions.
      4. Click Submit. The rule is displayed on the Broadcast window.
  9. Select the Frequency depending on your requirements. 
  10. Click Advanced Settings.

    • Timezone—Set the delivery timezone.
    • Limit Schedule Period—Limit the schedule to run only within a set period.
    • Failure Notification—Define an administrator user to be notified if the broadcast schedule fails.
  11. Click Submit to list the broadcast.
