Editing multiple configuration items and assets

In the Remedyforce CMDB tab, classes and their corresponding configuration items (CIs) and assets are displayed based on the CI and asset management configurations and the CMDB user permission assigned to you for CI Management View and Asset Management View. The CIs and assets represent records in the Remedyforce CMDB. For more information, refer the following sections:

Multi edit modes

Remedyforce provides the following two edit modes to update multiple CIs and assets of a class.

  • Inline edit mode: You can edit multiple records by selecting individual cells of each record.
  • Mass edit mode: You can edit multiple records by selecting a field and its value and assigning those values to all the selected records.

You can edit multiple records by using the Multiple Instance Editor feature. 

For the custom CMDB classes, Multiple Instance Editor is enabled. However, for the out-of-the-box CMDB classes, it is enabled or disabled based on your permission to edit the specific class:

  • If you have the permission to edit the selected out-of-the-box CMDB class, Multiple Instance Editor is enabled. Otherwise, it is disabled.

  • If you have the permission to edit the selected out-of-the-box CMDB class (parent class), but do not have the permission to edit any of its subclasses (child classes), Multiple Instance Editor is disabled.

  • If you do not have the permission to edit the selected out-of-the-box CMDB class (parent class), but have the permission to edit any of its subclasses (child classes), Multiple Instance Editor is disabled for the parent class and is enabled for those child classes for which you have the edit permissions.

  • If both CI and IT asset management are enabled, to be able to edit multiple CMDB instance of the instance type CI/Asset from the All tab of the Remedyforce CMDB tab, you must have the Update and Delete or Update CMDB user permission for both CI Management View and Asset Management View. Otherwise,Multiple Instance Editor is disabled.

While updating the fields in the the multiple edit modes, you need to understand the following considerations.

  • You can only update date in the Date/Time field. You cannot update time.
  • If you select a model in the Model Name field, the other attribute values that are defined in the selected model are also applied to the CI or asset. However, the updated attribute values are only displayed when you view the CIs or assets in the list view or in the Instance Editor.
  • Instances of a hidden class are not shown in the multiple edit modes.

Permissions required to update the records

You can update multiple records of a class based on the following permissions assigned to you by the system administrator:

  • Object permission of the class
  • Remedyforce CMDB user permission

The following table lists the required permissions for editing multiple records of a class.

Note

If you do not have the required permissions to edit  multiple CIs and assets, the Multiple Instance Editor  toolbar icon on the Remedyforce CMDB tab is disabled.

For CIs, or assets, or both CIs and assets, you can edit the editable fields in the General and Specifications tabs of the Instance Editor.

For Rule Based Asset classes, fields of the superclass based on which the rules criteria have been set are not editable. For example, if a Rule Based Asset class A has been created by applying the rule criteria Model Name = B, while editing multiple assets of A, the Model Name field is not editable.

Updating multiple records in the inline edit mode

Before you begin

Ensure that your administrator has assigned appropriate permissions. Depending on the permissions, you can view the following tabs:

  • If only CI management is enabled, you can view the CI tab.

  • If only asset management is enabled, you can view the Asset tab.
  • If both CI and IT asset management are enabled, you can view the CIAsset, and All tabs.

To update multiple records in the inline edit mode

  1. Click the Remedyforce CMDB tab.
  2. Click one of the following tabs:

    • CI tab–To select a CI and CI and Asset class. 
    • Asset tab–Displays the asset, Rule Based Asset, and CI and Asset classes.
    • All tab–Displays the available CI, asset, Rule Based Asset, and CI and Asset classes.
  3. In the left navigation pane, click the class for which you want to update the instances.
  4. Click Multiple Instance Editor.

  5. (Optional) To update a specific field value for multiple instances, perform the following actions:
    1. From the Filter list, select the field you want to update. For example, Class ID.

    2. In the Value field, enter the value for the field selected in the Filter list.
    3. Click Search.
  6. In the list view, click the field for the instance that you want to update.

  7. Specify the appropriate value for the field.

  8. Repeat steps 5 (which is optional) and 6 for all fields that you want to update.
  9. To save all your instance updates, click Save.

Considerations for using mass edit mode

  • You cannot clear a check box field in the mass edit mode.
  • You can select records only from the current page to update and not from the other pages. To update more records at a time, you can change the records per page to 25, 50, 100, and 200.
  • You can select only 20 records to update if the Reconciliation feature is ON.
  • The scroll speed of mouse is low on the grid area.
