Mapping task status to approvals

A case business analyst must create an approval mapping for tasks to define the following details:

  • Status that triggers an approval
  • Status to which a task transitions based on an approver's action

To map a task status to an approval

  1. Log in to BMC Helix Business Workflows as a case business analyst.
  2. Click My Application Settings .
    The Settings page opens in a new browser tab.
  3. Select Task Management > Approvals.
  4. (Version 20.08.01) On the Approval Mapping page, from the Line of Business list, select the line of business for which you want to create an approval mapping, and click Approval Mapping.
  5. (Version 20.08) Click Approval Mapping.
  6. Enter the details as provided in the following table:

    Approval Mapping NameSpecify a name for the approval mapping.

    Line of Business
    The line of business that you selected to create the approval mapping is displayed.
    DescriptionDescribe the approval mapping.
    CompanyTo apply the approval mapping to all companies, select Global. To apply it to a specific company, select the company from the list.
    Status TriggerSelect the status to trigger the approval process. The available values are Assigned, In Progress, Completed, Canceled, and Rejected.
    ApprovedSelect the status that the task will move to when it is approved. The values that are available for the Approved status are dependent on the status trigger that you select. You can select a status that comes after the status trigger value in the case lifecycle.
    For example, when you select Assigned as the status trigger, for the Approved status, you can select from Assigned, In Progress, Completed, Canceled, or Closed. For the Completed status trigger, the available status values for the Approved status are Completed, Canceled, or Closed.
    ErrorSelect the status that the task will move to when an error occurs. The values that are available for the Error status are dependent on the status trigger that you select.
    For example, for the Assigned status trigger, the available values for Error are Staged or Canceled.
    No Approval FoundSelect the status that the task will move to when no approval mapping is found. The values that are available for the No Approval Found status are dependent on the status trigger that you select.
    For example, for the Rejected status trigger, the available values for No Approval Found are Staged, Assigned, In Progress, or Canceled.
  7. Click Save.
  8. To trigger the approval process, complete one of the following steps:

    • For ad hoc tasks that are created without using task templates, select Tasks created without using any template tasks will go through approval .

    • For tasks that are created by using task templates, complete the following steps:
      1. From the Task Templates pane, select the task templates to which you want to apply the approval, and click .
        You can associate one template with different status triggers.
      2. Click Add New Flow Group for each task template, and specify the qualifications.
        The approval process checks the qualifications in the order that you define in the approval flow. Create flows in the order of most specific to most generic qualifications. For example, in the following image, the approval flow that is listed first takes precedence over all other flows:

  9. To delete an approval mapping that is no longer required, select it on the Approval Configuration console, and click Delete.
