Viewing and monitoring export jobs


The export process is not started automatically when the migration job is submitted. This allows you to configure the migration job prior to the start of the export. The example below shows the Export tab for an export job that has not yet been started and is in Draft status. (For instructions for how to get to this point, see Running-an-export-migration-job.)

To view the details of an export job that has started

  1. Select Data Migration > View Migration Jobs.
  2. Select a job.
  3. Click the Export tab, and click View Export Job. (This button replaces the Start Export button shown above after the exported has started.)
    The View Export Job page automatically appears when starting an export job.

    As the BMC Helix Data Manager Runtime processes the export job, the data is updated in the BMC Helix Data Manager Repository.
  4. To request the latest data, click the Refresh button. 
    To automatically refresh the data, click Auto-Refresh (this is enabled by default when you submit a job).
    At the top of the page, a progress bar shows the overall progress of the export process. The following phases are displayed:

    • Export Data—The process of extracting the data to files in the data package.
    • Package Data—The process of finalizing the data package and confirming the integrity of the package and of cleaning up the file system and database following packaging.
    • Complete—No further export activity is required.

    Each of these phases will be displayed with one of five icons:

    Critical Failure

The Summary tab

The Summary tab on the Migration Export Data page is divided into four sections:

  • Job Summary (top left)
  • Checklist (top right)
  • History (bottom left)
  • Progress tracker (bottom right)

The following table lists the fields on the Summary tab.

Field

Description

System

The name of the BMC Helix ITSM system from which data will be exported.

Status

The status of the job. Possible values are:

  • Draft—The job is being created.
  • Submitted—The job has been submitted, but the BMC Helix Data Manager Engine has not started running it yet.
  • In Progress—The job is currently running.
  • Complete—The job is complete.
  • Cancelled—The job has been cancelled.
  • Paused—The job has been paused.

Result

The result of the completion of the job. Possible values are:

  • None—The job is not yet complete.
  • Success—The overall result was successful; however, there may be some errors that occurred during the processing of the job.
  • Failure—The job encountered a critical failure and could not complete successfully.

Export Template

Tree (the default)—Data will be migrated using the tree structure defined in the migration pack.

Flat—Exports all data for all unique forms in the migration pack. This includes orphaned or junk data in your system but can result in increased performance. Flat mode export will not be used for a form that has parameters or to the children and parents of these forms.

Threads

The number of threads that will simultaneously export data.

Updated

The date and time when the current view was last updated. This timestamp is automatically updated when the view is refreshed by the Refresh button or the Auto- refresh option.

The summary section also includes the Action menu that allows you to trigger process-sensitive actions for the export job or to display the migration job.

Checklist

The checklist section shows a list of the high-level actions and their statuses. Following are two examples, one showing that export is currently in progress and the other showing a failed connectivity test.

History

The history section shows a list of all actions that were performed for the export job. The list shows a summary description and the timestamp the action occurred.

Progress tracker

The progress tracker graphically illustrates the progress of the export and packaging and shows the forms or tables that are currently in progress.

The Export tab tracks the export progress. The chart shows the total number of forms or tables processed in the center.

The following totals are listed.

Field

Total

The total number of forms or tables to be exported.

Success

The number of forms or tables where data was found and exported successfully (shown in lime green on the chart).

Failed

The number of forms or tables that failed during export. Failed forms or tables are shown in red on the chart. Forms or tables with warnings are shown in yellow.

Skipped

The number of forms or tables that were not checked for data because the parent did not have any data. Skipped forms or tables and ones with no data are shown in light green on the chart.

Records

The total number of records exported.

Similarly, the Package tab shows the number of packaged files.

Description

Total

The total number of files to be exported.

Success

The number of files that were added to the export package successfully.

The Forms tab and the Tables tab

The Forms or Tables tab shows all forms or tables in the scope of the export in the tree structure. This tree is updated during the processing of the export.  The tree graphically displays the status of the export for a form or table. The following icons are used:

The node was successfully exported. There were no data records but entry lists were exported for an incremental export.

Form or table is currently processing.

No data was found or the parent had no data.

There was a noncritical failure processing this node.

You can select any of the forms or tables in the tree to see the status, number of exported records, and the qualification to the parent. If a failure occurred, an error message is displayed.

The Timings sub-tab shows a detailed breakdown of the time taken to export the T, H, and B tables.

The date and time the data for the migration tree was last updated is shown at the top right of the table. You can click Refresh to update the tree immediately or click Auto-Refresh to update the tree in real time.

You should not enable Auto-Refresh on the Summary tab and the tree. The amount of data can cause issues for the browser connection.

The Errors & Warnings tab

The Errors and Warnings tab lists any issues that occurred when performing the export or packing operations. The number of issues is shown in the tab title. 

To view the full details for the error, select an error from the list.

To view and adjust the mapping for the form or table that encountered an issue, click Form Mapping or Table Mapping.

To open the migration pack for this job, click Migration Pack.

To generate a list of all warnings and the detailed error messages to a CSV file, click Report.

The Timings tab

The Timings tab shows the number of records and total time taken to export data for each form or table in the scope of the data export. To display the details of the timings, click the Refresh button. You can filter the list by using the column headings. The TOTAL row shows the total number of records, file size, and duration.
