Exporting custom record data from your application

As an administrator, you can use the Data Management Console to export the Foundation data and custom record data in bulk from your BMC Helix Platform application.

During data export, Data Management Console enables you to select data from records and associated records, filter the data that you want to export, and preview the list of data before exporting the custom records to your local machine.  

To export the custom record data

  1. Log in to BMC Helix Innovation Studio and navigate to the Workspace tab. 
  2. Click the Data Management Console application. 
  3. Click Visit Deployed Application.
  4. On the Export tab, click New Export.

  5. On the Export Data page, enter the information for the following fields:

    Field

    Description

    Name

    Specify the name of the export request.

    Description

    Provide a description.

    Add Definition and related filters

    Click to add the record definition you want to include in the export. You can include multiple record definitions.

    Record/Association

    Select whether this item is a record or an association.

    Select Definition

    Choose the record definition or record association you want to include in the export.

    Select Fields

    Select the fields of the record definition that you want to include in the export. This option is available only if you select the Record check box.Notes:

    • Make sure that you select all the required fields from the record definition.
    • The export behavior is different for each type of field. The following list classifies the export behavior of the fields:
      • The confidential data field is exported only if the functional role has access to the confidential data.
      • Attachment, Boolean, Date, Date/Time, Decimal, Floating, Integer, Text, Time, Selection fields are exported as is.

    Data Filters

    You can apply a filter to include only specific data in the export. Click the Click to build an expression link to provide the expression used to filter the data.

    Preview

    Select to preview the custom data that will be included in the export.

  6. Click Save.

To download the export data

  1. Log in to BMC Helix Innovation Studio and navigate to the Workspace tab. 
  2. Click the Data Management Console application. 
  3. Click Visit Deployed Application.
  4. On the Export tab, select the export request from the list.
  5. Click Export Data and click the download export icon.png icon.

The exported data is downloaded as a ZIP file. 

The Status column on the Export tab, displays the status of the exported data. You can view the status message by clicking the Status message icon.png icon from the Status Message column.
