Form to create, delete, maintain, and search alternative approvers


Approvers use the AP:Alternate form to create, delete, maintain, and search alternative approvers to take action on their behalf. However, they are not permitted to define alternative approvers for anyone other than themselves.

Field

Description

Alternate

Type the AR Systemusername of the alternate approver.

For

AR System automatically populates this field with the username of the current user.

Only an administrator has write permission for this field.

Start Date

Open the calendar control and select the date and time when the alternate approver can begin the tasks.

End Date

Open the calendar control and select the date and time when the alternate approver must end the tasks.

Notify Alternate

Select whether the alternate approver is notified when a request comes to the original approver.

  • Yes notifies the alternate approver when a request is pending.
  • No does not notify the alternate approver.

To notify the alternate approvers, the process administrator must perform the following tasks:

  1. Create notifications on the New Signature notify on event.
  2. Select Enabled Including Alternate on the AP:Admin-Server Settings form.

Covering

Select one of the following values to identify which processes are included in this alternate approver's authority:

  • All—This alternate approver has the authority to approve all processes for which the original approver has authority.
  • Specific Process—This alternate approver has the authority for only the process specified in the Process field.

Process

If you selected Specific Process, select the process for which the alternate approver has authority.

Process Instance ID

AR System automatically enters the GUID of the process selected in the Process field.

Status

AR System automatically completes this field with one of the following values based on the server's current date and time:

  • Future—This alternate approver is not yet active.
  • Current—The alternate approver is presently active.
  • Past—The alternate approver is no longer active.
  • Cancelled—The alternate record has been canceled and the alternate approver is not active.

Search

In Search mode, searches the AP:Alternate form.

Save

Save changes and entries to the form.

Close

Close the window without making any changes.

Field

Description

Alternate ID

AR System populates this field with an AR SystemID for this record.

Create Date

AR System populates this field with the date this alternate approver was created.

Assigned To

Type the name of the original approver assigning authority to this alternate. The default is the current user.

Help Text

Type information to aid users who are setting up alternate approvers.

Change history

Type any additional information to be recorded with the alternate assignment. This information becomes part of the permanent record for this alternate approver.

Last Modified By

AR System populates this field with the name of the person who last modified the value of the alternate approver.

Last Modified Date

AR System populates this field with the date when the value of the alternate approver was last modified.
