Form to create three-way join when adding approvals to an application

The AP:Detail-Signature form is a join form that combines the data from the AP:Detail and AP:Signature forms. You can link this form to your application's approval request form to create a three-way join when you add approvals to your application. The Approval Server uses this form for internal processing. The visible fields of this form appear by default in the three-way join form, which displays request details.

To open the three-way join form, click Request ID on Approval Central, and click Show Signatures, if implemented, on the application form that appears.

In addition to the fields described in this section, the AP:Detail-Signature form also includes many hidden fields used to store temporary results during the workflow.

Field

Description

Approval Status

The AR System populates this field with the current status for the signature record.

  • Pending—The Approval Server is waiting for a response to a request for this signature line.
  • Approved—The request is approved for this signature line.
  • Rejected—The request is rejected for this signature line.
  • Hold—The request is on hold for this signature line, so no Approval Server actions occur.
  • More Information—The approver associated with this signature line is waiting for a response to a More Information Request.
  • Cancelled—This request was withdrawn from the approval process.
  • Error—The Approval Server detected an error state while processing this request.
  • Closed—This request has ended and operations can no longer be performed on it.

Password

This field is optional. The administrator should configure it to appear on the three-way join form when the process has Require Passwords set to Yes. Type your password for verification. The Approval Server verifies the contents of this field before a Save operation occurs.

Approval Priority

The Approval Server displays the priority of this request as defined in the approval process.

Comments

Enter any comments you want to store with the approval request.

Next Approvers

When the process allows ad hoc approvers to be added, type the AR System user names of the next approvers.

If Multiple Approvers

If you enter ad hoc approvers, select how the approval process operates when more than one approver appears in the Next Approver field.

  • One Must Sign—A single signature entry is created for all approvers in the Next Approver field. Only one of those approvers needs to take action on the request.
  • All Must Sign—Separate signature entries are created for all approvers in the Next Approver field. All approvers must act on the request for it to move to the next stage.

Reassign To

Type the AR System user name of an approver to whom you want to reassign this request.

Approvers

The AR System populates this field with the AR System user name of the approver for this signature line.

Approval Audit Trail

This field contains an audit trail of date, time, and approver for actions taken on this request. This information is part of the permanent record for this request.

Assignee Group Permission

The AR System populates this field with the Assignee Group for the request. This field supports the multitenancy feature.

For Application

The AR System populates this field with the name of the approval request form for the request.

For Request

The AR System populates this field with the AR System ID for the request.

For Process

The AR System populates this field with the name of the approval process of this request.

Submitter

The AR System populates this field with the name of the person who submitted the request.

Approver Signature

This field records the AR System user name of the approver who has responded for this signature line. The name appears only after an authorized person modifies the Approval Status field.

Alternate Signature

This field records the AR System user name of the alternate approver who modifies the Approval Status field, if any.

More Information

This field contains More Information requests sent by the approver for this request and signature line, and the responses to those requests. The field is not populated until the requester responds to the More Information request.

Show Details

This field opens the approval request form for this request.

More information

This field opens AP:Dtl-Sig-MoreInfoDialog and searches for More Information requests associated with this approval request.

Signing Method

Tracks the method in the Approval Console or Email Engine used for approving or rejecting a request.
