Form to attach approval request forms to approval server
Basic tab
On the Basic tab, specify the values for the basic form settings as shown in the following image and table:

Fields on the AP:Form form—Basic tab
Field | Description |
---|---|
Form Name | Select a form on the current server, or type a form name. |
Lookup Keyword | Type a keyword to be used by the Approval Server when searching for this form. The keyword acts as a permanent search term, even if the name of the form changes. |
Used By | This field contains the name of the AR System application that uses this form. AR System populates this field with Approval. |
Approval Reporting | Enter the name of a form used for reporting, if any. |
Assignee Group Permission | The AR System populates this field with the Assignee Group for the request. This field supports the multi-tenancy feature. |
Request ID Link Association | The Request ID Link Association has three options to check the link association for the form specified in the Form Name field.

View Label | Select a specific view name on the form. The selected view opens when you click the Request ID. |
Save | In Submit mode, click this button to save your changes. |
Close | Click this button to close the window. |
Advanced tab
As a process administrator, use the Advanced tab to define field mappings for a request form at the application level. These mappings are not mandatory. Not all field types are supported for mapping.

AP:Form—Advanced tab
The fields on this form are reserved field IDs in the Approval Server. You can map them to other fields on the application forms by using the corresponding menus. The values from the mapped fields are displayed on Approval Central and AP:Show-Detail.
The following table describes where these values appear:
Fields on the AP:Form form—Advanced tab
Field | Description |

Application Request ID | Map to an application ID, which could be the request ID or any other ID field in the application. For example, Change Management uses its own IDs to represent a particular record, apart from the one generated by AR System. You can map this field to that field from the Change Management application. The value from the mapped field is displayed on Approval Central as the Request ID link. If the value is NULL, the request ID is displayed by default. For more information, see Approval-Central. |
Requestor | Map to a user field on the application form. The value from the mapped field is displayed in the Requestor column on Approval Central. |
Field 1 {14506} | The value from the mapped field is displayed in the Summary column on Approval Central. |
Field 2 {14507} | Currently, the Approval Server does not use Field 2. This field was used in releases earlier than version 7.5.00 to display certain fields on the approval console. |
Field 3 {14508} Field 4 {14509} Field 5 {14510} Field 6 {14511} | The values from the mapped fields are displayed in the top panel on AP:Show-Detail. For example, for a request of the Lunch Scheduler sample application, these values appear against the following labels:

Field 7 {14512} | The value from the mapped field can be used according to the user's requirement. Currently, the value of this field is not displayed anywhere on Approval Central. |
Field 8 {14513} | The value from the mapped field is displayed in the Notes field for a request on Approval Central. |
Field 9 {14514} | The value from the mapped field is displayed in the Attachment table on the AP:Show-Detail form. |
Define Labels | Click to define labels for the fields 14508, 14509, 14510, and 14511, for various applications, processes, and locales. The AP:DynamicLabels form is displayed. For more information, see Form-to-set-locale-specific-labels-and-tooltip-labels. |
Save | In Submit mode, click this button to save your changes. |
Close | Click this button to close the window. |
Changing the field mappings on this form only affects new requests. The older requests retain their original field values.
ToolTip Configuration tab
As a process administrator, use the ToolTip Configuration tab to define tooltip field mappings for a request form at the application level. These mappings are not mandatory.

You can map them to fields on the application forms by using the corresponding menus. The values from the mapped fields are displayed in a tooltip on Approval Central. The following table describes where these values appear:

If the value from the mapped fields contains any HTML content, Approval Server renders the content as HTML content.
