Modifying approval processes


Administrators can modify, delete, or rename an existing process.

To view and modify a process

  1. Open the AP:Administration form.
    For more information, see Working with the AP-Administration form.
  2. On the Process tab, click Refresh.
  3. Select the process from the list and click View.

    The Process Definition form opens in Modify mode, displaying the entry for the selected process.
  4. Modify the appropriate process fields as needed.

  5. Click Save.

To delete a process

The delete operation is permanent and cannot be undone. When you delete a process, all of its associated rules are deactivated.

  1. Open the AP:Administration form.
  2. On the Process tab, click Refresh to populate the list of processes.
  3. Select the process you want to delete.
  4. Click Delete.

  5. Click Yes when prompted to confirm the deletion.

    The process is deleted and no longer appears in the list of processes.

To rename an approval process or form

If you want to rename an approval process or an approval form, you can apply the new process or form name to all existing requests in the process, or only to active requests. You must also edit any related workflows, such as the filter that starts the process, to correct the process name.

  1. Open the AP:Administration form.
    For more information, see Working with the AP-Administration form.
  2. In the navigation pane, click Rename.

  3. In the Approval  Server Rename dialog box (AP:Admin-Rename form), select Process to rename a process, or select Form to rename a form.
  4. In the Select GUID of the process to be renamed field, click the menu.
    • If you are renaming an approval process, a list of the existing processes appears by name. Select the process name. AR System server supplies the process GUID. Click the GUID to select the process.
    • If you are renaming a form, a list of all forms on the AR System server appears. Select the approval form to be renamed.
  5. In the Enter new process name or the Enter new form name field, type the new process or form name.
  6. In the Scope of Update field, select whether you want the new name to apply to all requests, or only to active requests.
    • All Requests—This option updates both currently active and completed detail and signature records. This option takes more time but will make sure that all the detail records reference the new name.
    • Only Active Requests—This option updates only the currently active detail and signature records.
      If you leave the Scope of Update field blank, Approval Serverconsiders All Requests to be the default value.
  7. To change the name of the process or the object as well as the related requests, the Including Object Itself check box must be selected.
    If you have already manually changed the process or form name, clear this check box. In this case, AR System renames only the related requests, and you must enter the current process or form name in the field labeled Enter new process name or Enter new form name.
  8. Click Rename to complete the action.
