Scheduling a report to run automatically


An administrator can assign the Job Scheduler role to groups so that members can create or modify a schedule that specifies when a report listed in the AR System Report Console is run and published. 

Example of modifying a qualification when scheduling a report

Bob, a manager for the training program, creates an ad-hoc report by selecting the Sample:Classes form and running a search. Bob saves the qualification in the report by adding a built-in qualification. If Bob schedules and publishes a report from the search results, the Qualification to Use field shown during scheduling uses his search qualification, which overrides his built-in qualification. Chris, a different training program manager, runs a different search on the Sample:Classes form, selects Bob's report, and then creates his own schedule. Dave, another manager, also runs a different search on the same form, selects Bob's report, and creates his own schedule. When Chris and Dave create their own schedules, the Qualification to Use field uses their own search qualifications.

Prerequisites for scheduling reports as a non-administrator

You can also schedule reports as a non-administrator. Before you schedule a report as a non-administrator, you must perform the following steps. (For more information, see the BMC Communities article, How to permit non-admin user to schedule Web reports.)

To schedule reports you must have Job scheduler role in your role list:

  1. On the AR System Administration Console, open the Roles form and search for Role name as Job Scheduler.
  2. Map the Job Scheduler role to Reporting User group.

  3. From the Production list, select the Reporting User group.
  4. Open the User form and assign the Reporting User to the Group List field.
  5. Log in to  and verify if the user has the permission to schedule Web reports.

  1. Open AR System Administration Console > Application > Users / Groups / Roles >  Groups.
  2. Search for Group Name AI Arsystem Scheduler
  3. In the Group Definition field update the expression to include: OR “Reporting User”.

  4. Open the User form and assign the Reporting User to the Group List field.

  5. Log in to  and verify you have permission to schedule Web reports.

To schedule reports

  1. In the Report Console list, locate the report that you want to publish.
  2. Select the report, and click Schedule.
  3. If a schedule has not been defined for the report, click New to create a schedule for publishing a report.
  4. (Optional) To modify an existing schedule that is defined for a selected report, click Edit.
  5. Select the date and time to publish the report.
  6. In the Recurrence section, select one of the following:

    Options

    Description

    Run Once

    To run and publish the report only once select this option.

    Daily

    To run and publish the report every day, or in a regular interval of less than a week:

    1. In the Every field, specify the interval to publish the report. For example:
      • Enter 1 to publish every day.
      • Enter 2 to publish every alternate days.
      • Enter 3 to publish after every three days.
    2. Select the date and time to stop the report publishing.

    Weekly

    To run and publish the report on a particular day or days of every week or regular week interval:

    1. Enter a number to specify the week interval.
    2. Select the day or days you want the report to publish.
    3. Select the date and time to stop the report publishing.

    Monthly

    To run and publish the report on a particular day of every month or regular month interval:

    1. Specify or select the day and month interval.
    2. Select the date and time to stop the report publishing.
  7. Click Next.
  8. Specify the details for report publishing.
