Creating resource request


This topic guides you on how to create a new Resource Request. For a quick introduction and lifecycle of Resource Management, you can refer to Resource Management Overview.

These operations can be performed by Resource Managers and Resource Masters.

To create a new resource request

  1. A resource request can be created from the following two sources:
    1. Log in Agility Suite application, and select Create > Resource Request.
    2. Log in to the Smart IT application and access an incident/ task, work order/ change request. From the edit view that is opened click the Manage Resources button. The console shows the details of the entity along with the related resource requests and resource assignments in the form of grids. Click on the add.png New Resource Request option to add a new resource request to the entity. Create the resource request by adding the required details.
  2. On the Create Resource Request page, enter the values for the following fields. 

    Field Labels

    Description

    Request Summary

    Enter a short Summary of Requests which describes the objective.

    Description

    This is a special type of field which supports basic formatting, images, tables, and hyperlink.

    Enter details of the objective, and goal which is fulfilled by addressing this request.

    Source Application

    Select the application from the dropdown for which you want to create the request.

    Entity Type

    Select the Entity from the dropdown, this entity will be associated with the request and its subsequent assignments.

    This dropdown is dynamic and is based on the value of the source application.

    For Ex: If you select Agility Suite in the source application field then you might see Project, Ideas, Demands, etc in this dropdown.

    Request Type

    Values can be Group or Individual

    External/Internal Entity Reference

    Click on the Associate button and select the entity with which you want to associate the request. The entities that you see in this list will be dependent on the Entity Type field.

    Assignment Type Preference

    Types of Assignment: Full-Time, Part-Time, or On-Demand.

    The value selected is copied on the resource assignment that is associated to the current resource request. This value can be changed in the resource assignment until the 'Assigned' status and impacts the planned hours of the user assigned on the resource assignment.

    Priority

    Priority of the Assignment: Critical, High, Medium, or Low.

    Resource Region

    Select the region where the resource is based from the dropdown.

    Delivery Region

    Select the region where the entity associated with the request will be delivered.

    For example, if a project is associated with this request, and the project will be delivered in London, then the delivery region should be London.

    Scope

    Scope of the Request: Internal or Customer Facing.

    Estimated No. of Resources

    Tentative no. of resources required to fulfil this request.

    Requested Hours

    Hours that will be required to fulfil this request.

    Start Date

    Start date of the request.

    End Date

    End date of the request.

    Attachments

    You can associate any document which can be helpful in fulfilling the request.

  3. Click Save. The new request is created and is opened in the Draft status.
