Creating and modifying project templates


This topic guides you on how Project Managers can submit and edit Project Templates.

To create a Project Template

  1. Log in Agility Suite application and click Settings Gear.PNG.
  2. Go to Project Management > Project Templates.
  3. Click on the '+ Project Template' button to add a new task template.
  4. On the Add Project Template page, complete the Sprint-Phase fields as explained in the following table:

    Define the title of the project created by using this template.

    Type Project

    Select the type of project (Agile or Phased) created using this template.

    Priority

    Specify the priority of the project created by using this template.

    Description

    Add a description for the project created by using this template.

    Duration

    Duration in days, End Date field for the project created by using this template is completed automatically in order this value and Start Date value.

  5. Complete the template metadata fields as explained in the following table:

    Name of the new project template.

    Status

    Select one of the following statuses:

    • Draft: this is the default status of a new template.
      In the Draft status, the template is not available for use.
    • Active: the template is available for use.
      Important: only active templates are searchable and available for use.
    • Inactive: the template is redundant, and no longer in use.

    Template Description

    Description of the purpose of the template or Notes about the template.

  6. Click Save.
  7. After you create the project template, you can add sprint templates to the template if the Type is 'Agile', or add phase templates to the template if the Type is 'Phased'. When the project is created using the template, the sprints or phases are created using the sprint or phase templates related, also the tasks are created using the task templates contained in these sprint or phases templates.
    • Go to the Sprint Templates tab if the Type is 'Agile' or the Phase Templates tab if the Type is 'Phased'.
    • Click the Relate Sprint Templates button or the Relate Phase Templates button.
    • A blade window appears with the list of active sprint-phase templates where the Type is 'Sprint' or 'Both' if the Type project template is 'Agile', or the Type is 'Phase' or 'Both' if the Type project template is 'Phased'.
    • Select the sprint-phase template that you want to relate to and click the Select button and the blade window is closed.
    • A list of the related sprint or phase templates is refreshed with the sprint-phase template selected.
    • The duration field is updated automatically in the template in order with the Duration of the sprint-phase templates related.
  8. If the project template Type is Agile, you can specify Predecessors-Successors relationships between the sprint templates. When the project is created using the template, the sprints are created using sprint templates related, and also Predeccesor-Successor relationships are created between the sprints using Predecessors-Successors relationships defined between the sprint templates. 
    • Go to the Sprint Templates tab.
    • Select the sprint template related that which you want to specify a predecessor or successor sprint template.
    • Click the < New button if you want to specify a predecessor sprint template or the > New button for a successor sprint template.
    • A blade window appears with the list of the other sprint templates related to the project template.
    • Select the sprint template and click the Select button and the blade window is closed.
    • The list of the Predecessor or Successor templates is refreshed for the selected sprint template. 
    • The duration field is updated automatically in the project template in order with the Duration of the task templates related and the Predecessor and Successor relationships between them.
  9. If the project template Type is Phased, the phase templates are related as the Order value is defined as they have been related. You can reorder the phases templates:
    • Select the phase template that you want to change the order.
    • Click the 'Move Up' or 'Move Down' button.
    • The Order phase template selected changes upper or a downer. 

To modify a Project Template

  1. Log in Agility Suite application and click Settings Gear.PNG.
  2. Go to Project Management > Project Templates.
  3. Click on the Template Name link of the project template that you want to modify.
  4. Templates with a Status is 'Active' cannot be modified. To modify the Status:
    • Click the Edit button in the Metadata section.
    • Change Status value to Draft' or Inactive
    • Click Save.
  5. Click the Edit button in the project template fields section.
  6. Make the necessary modifications.
  7. Click Save.
  8. Active the template by modifying the Status to Active in the Metadata section (as explained in point 4).
