Project Management Console


Introduction of Project Management -

  • Project Management is a process where a specific objective concerning requirements and demands gets achieved.  This version of Fusion Agility Suite comes up with Agile Project Management to support your teams to work efficiently and flexibly on projects. Create your backlog from Portfolio Management fully automated. Manage your tasks with Drag and Drop via Gantt and Kanban
  • The Project Manager is responsible for planning, organizing, and directing the completion of specific for an organization while ensuring the project on time, within the budget and within Scope.  
  • Project Management Console is the application of tools, and techniques to achieve the project needs. The Project Management Life cycle is broken down into phases which helps to keep track on - 
    1. Budgets.
    2. Risk of Projects.
    3. Sprints, Tasks to look at in detail in progress.
    4. Has a dedicated Manager

Project Management allows to seeing Sprints, Tasks with allocated resources. A detailed Gantt diagram can be seen from Project which allows seeing the schedule and helps assess you on how long the project should take, determine the resources needed, and plan to complete your tasks on time.

How to create a project from Project Management Console

  1. Login to Fusion Agility Suite and navigate to Create tab. Click on Create > Project. (Can be done by Project Master or Portfolio Master)

  2. Dialog of creating project will be displayed.

  3. Specify the following information:

    Field

    Description

    Summary (required)

    Enter a Summary of the Project which will describe the objective.

    Description

    The Project Manager can summarize the aims, outcomes, significance of this Project.

    This is a special type of field which supports basic formatting, images, tables, hyperlink.

    Attachments

    Can associate attachments, videos for a better understanding of the project.

    Project Type

    Agile

    Associate Portfolio(required)

    Click on the Associate button and a list of all Portfolios will be displayed.

    Select the Portfolio.

    Requester (required)

    Who is requesting the project?

    Project Master can create projects on behalf of others. We have an Associate button where we can change the requester of the Project.

    Project Manager

    The one who will be monitoring the Project.

    Start Date

    The Date on which the Project will kick-off

    End Date

    Tentative Date on which the project is expected to close

  4. Click on the Save action button to save the project. A new project will be created in Project Management Console and it will appear in the Workspace tab as shown in the following image:

  5. Once Project is created the status of the Project will be in DRAFT state.

How to edit Project

  1. Click on the project from the Workspace console – the project will be open in display mode.
  2. Click on the Edit link highlighted below:

  3. Fields that will be edited are:

    Field

    Summary (required)

     Enter a Summary of the Project which will describe the objective. 

    Description

    Project Manager (required)

    Here, the Persona who will monitor, manage all the details of that Project

    Status (required)

    This is a Selection field where a list of all statuses will be displayed.

    The Project Manager has control of this field. Based upon the data which will be entered for the Project Status life cycle will proceed.

    Status Reason

    This is a Selection field where a list of all statuses will be displayed. The field will only be enabled if the status is selected. 

    Start Date (required)

     A tentative start date for the project to kick-off

    End Date (required)

    Tentative end date for the project to end.

  4. Click the Save action button to save the changes.
  5. The Project Management console also comes up with a "Gantt Diagram". Gantt chart is a graphical depiction of a project schedule. It's is a type of bar chart that shows the start and finish dates of several elements of a project that include resources, milestones, tasks, and dependencies.
  6. The “View Gantt” link is displayed when the Project opens in detail mode. Screenshot below -

  7. Click on “View Gantt” to view the Gantt chart. An example below:

  8. Gantt chart helps in the project schedule and it also shows the relationships between activities and current schedule status. It also shows schedule conflicts. 
  9. Simple corrections can also be done by dragging and dropping on the chart itself.

Edit Project - Sprints

  1. Sprint is a set period during which specific work must complete and make ready for review. Project console helps Project Manager in adding New sprints. These sprints can have details about features, use cases at a high level. And based on these details team can create tasks underneath. 
  2. Click on the +New Sprint link to create New Sprint. For Sprint to be added Project should be in Plan/Prepare state.

  3. Field information:

    Field

    Priority (required)

    Critical, High, Medium, Low.

    Start Date (required)

    Estimated start date of the sprint. 

    End Date (required)

    Estimated end date of the sprint.

    Sprint Manager

    Here, the Persona who will monitor, manage all the details of that Sprint.

  4. Once the sprint is added it gets displayed below:

  5. After adding sprint New Task, Relate Task, Delete Sprint links get enabled.  

    Important

    Sprints can only be added to the Project when Project status is in Plan/Prepare.

  6. Click on the Sprint which opens in detail panel as shown below:

  7. Click on Edit for a sprint to be updated:

  8. Sprints console shows Sprint Manager all the tasks associated with the sprint. As shown below -

  9. We can perform the above from the Sprint console as well. Creating "New Tasks"“Relate Tasks”, "Unrelate Tasks" “Assign Team"“Create Requirements” 
  10. Tasks Kanban Board can also be seen if we click on "Kanban Board"

  11. All tasks can be viewed in Sprint Kanban Board.

  12. Kanban Board provides updating of tasks status from In Progress to Done or any other status as well. The project manager can easily update the tasks directly from this Board.
  13. Tasks can be created for the pieces of work that an individual assignee needs to be done. We can achieve this from the Sprints console. Click on +New Task to create a new task. Create task view will look below:

    Task Assignee can enter details of the task.

    The Assignee who will work on this task.

  15. The added task will get displayed in the Tasks in the Sprints section:

  16. When a task is added via Sprints a new Requirement gets created if the Create Requirement option while creating task is selected as “Yes” and it gets associated with that Task.

    Important

    For Tasks to be in progress requires Sprint to be Related.


  17. The Requirement created gets associated with the task like below shown in the screenshot:

  18.  Sprint goes to Done state when all tasks associated with that sprint are completed/done.
  19. “Relate Tasks” can be used to relate the task to those sprints wherein Tasks were already created and sprints were created later. Relate Task helps whenever project requirements discussion has begun earlier wherein some work needs to be done before finalizing the Sprints structure.
  20. “Delete Sprint” allows to delete any Sprint. Select sprint from sprint console and click on Delete sprint a warning pop-up post confirming the selected sprint gets deleted. Sprint can only be deleted when its status is New.

Edit Project - Tasks in Backlog Console

  1. This console allows the Project Manager to add Tasks when sprints are not added.  
  2. Click on +New Task to add a new task. The create task screen will look below:

  3. Fields to be added are:

  4. Once a task is created it is displayed in the console below:

  5. We can Relate the Task to available sprints. 
  6. Select the task and click on “Relate Sprint” select sprint tab will be open where the list of all available sprints will be displayed.

  7. Select the sprint and the task will be added to that sprint. 
  8. “Delete Task”, the selected task gets deleted. This helps if duplicate tasks are created or any task which is now no longer required.
  9. “Assign Teams”, who will be working on this task. Select Task and click on “Assign Team” list of all teams’ present views will be open.

  10. Select team and member click on Assign and the individual team member name will now be displayed on that task. Below screenshot shows:

  11. Lastly, “Create Requirements” helps in creating new requirements which get associated with the tasks. 

Edit Project - Tasks in Sprints

  1. All tasks created as per the sprints are displayed in this console. There can be multiple tasks in one sprint.
  2. This console helps Project Manager to see all tasks with the individual assignee, start-end dates, requirement details. Below is the view which is displayed:

  3. Tasks can be Unrelated by selecting the task and click “Unrelate Tasks”
  4. Assign Team” helps in assigning tasks to team members. 
  5. “Create Requirements” helps in creating new requirements for the selected task.

Edit Project - Teams Console

  1. The “Teams” section allows the Project Manager to create a new team and add members to it. Click “+New Team” to create a new team.

  2. The “Associate” button provides a list of all team members working in the organization. Select the required members and save the changes.
  3.  A team with the added members will be displayed below:

  4. Select the team added. “Manage members” helps if new members need to be added. Similar way we can remove the member with Manage members.
