Viewing project budget details


The Budgets pane on the Financials tab of the Project Details window displays a summary of the planned project spend. This pane includes expense and capital budgets, actuals and variance between the two. It also includes several columns of information, including budget type (project or sustaining) and general ledger account that you have used to specify the budget or actual value. You can quickly focus on key aspects of the planned project spend by using the various search terms such as general ledger type (expense, capital, or depreciation), budget type, cost type, spend type, and flex dates (if enabled).

To view project budget details

  1. In the Project details window, open the Financials tab.
     Alternatively, you can click Budget Details in the budget task of your project lifecycle.
     The Budgets section displays budgets, actuals and variance between the two. You can add the budget line items in the budgets pane. To add the actual cost values, use the Actuals option on the Financials tab.
     You can use the Budgets section to create, edit, and delete budgeted line item costs in any project budget.
  2. In the View By list, select the type of budget that you need to view.
     If you access the project budget information using the Financials tab, the View By list is set to All by default. This means that all budgets defined for your project lifecycle are displayed.
     If you access the budget information using the Budget Details option in the Preliminary Budget or Final Budget tasks of the project lifecycle, the View By list is set to Preliminary Budget or Final Budget respectively.

    Note

    The Preliminary Budget and Final Budget tasks are defined in the out-of-the-box default project lifecycle template. Your organization can have a different number of budget tasks defined in the project lifecycle template. In such a case, the View By field displays the name of the budgets as defined in your template.

  3. In the By field, select if you want to specify or view the budget data by month, quarter or year.
  4. In the From and To fields, select the fiscal range for the budgets.
     By default, the project start and end dates are displayed.
  5. Click Apply

    Note

    If you select the start and end dates outside the project time frames, the system marks the months beyond the project with red.

  6. (Optionally) To specify the search criteria to display specific budgets, use the Search option .
  7. (Optionally) To export the budget values as a Microsoft Excel Spreadsheet, click Export.

Next, you can add or edit budget line items in the Budgets section.
