Importing data by using data files


You can import the following object data types into BMC IT Business Management:

  • General Ledger Accounts
  • Questionnaires
  • Lifecycle Templates

The files are imported in .json format.

To import by using data file

  1. In the Administration navigation pane, click Import > Data Files.
  2. In the Data Object Type list, select the type of data that you want to import.
  3. In the File text box, select the file that you want to import, and then click Open

    To import the file, it must be of the selected data type. Also, the source server and target server Company ID values in this file must be the same.

  4. If you want to overwrite the existing data, select the Overwrite Existing Data check box.

    The system overwrites the data depending on its type:
    • General Ledger Accounts - you can select whether to overwrite the existing data. If you import the file that already exists in the system, the system overwrites only the general ledger accounts, which are contained in the imported file. This means that the system does not delete newly added items from the target instance.
    • Questionnaires - the Overwrite Existing Data check box is selected by default. You cannot clear this check box. If you import a questionnaire that already exists in the system, the system overwrites only the questions, which are contained in the imported file. This is done to prevent from duplicating the existing questions in a questionnaire. InformationIf a questionnaire has five entries with equal weight (20% each) and the imported file has four entries with equal weight (25% each) and all the four entries match with the entries of the target instance, then the system overwrites these four entries with the weight of 25% each and leaves the fifth entry with the weight of 20%. You have to manually re-balance the questionnaire.
       Similarly, if a questionnaire contains four entries and the imported file contains five entries, the system overwrites the first four entries (if they match) and adds the fifth entry into the questionnaire.
    • Lifecycle Templates - you can select whether to overwrite the existing data.

      If the lifecycle template is used in a project, the overwriting of this template can lead to the incorrect project workflow.

  5. Click Import Now.
     The system imports the file and it appears in the Import History list. You might need to click Refresh to see that the status of the job is Completed.
  6. In the Import History list, you can manage the import jobs as follows:
    • To see the possible errors, notifications, and messages, click View logs.
    • To cancel a job, click Cancel.
    • To delete a job, click Delete.
