Use cases for cost model scenario
This section describes common cost model scenario use cases that you encounter as IT support staff. Calbro Services user personas help to illustrate the user scenarios. The typical steps described by these use cases are in keeping with BMC best practices.
The use cases do not refer to specific Calbro Services sample data. To follow the use cases, in some instances, you might need to create your own sample data (for example, cost models and cost elements). In addition, you might need to grant additional permissions to certain users.
Comparing cost of using a business service on-premise with using it as on-demand service
Calbro Services offers many customer care applications to its employees. Some of the customer care applications such as payroll and benefits management are available as in-house tools developed and maintained by the Calbro Services IT department. Paula is a service manager at Calbro Services. She works closely with Allen Allbrook, who is the financial manager for IT services. Paula has proposals from several organizations that offer customer care applications on-demand. Allen needs to access the cost of providing services in-house and cost of using cloud-based application provided by outside vendors.
Paula and Allen need to perform the following tasks:
- Assess if the cost of providing a service can be reduced.
- Provide more strategic direction to business in terms of usage of various applications.
To achieve these goals, Paula and Allen use the cost model scenario feature of BMC IT Business management Suite as follows:
- Paula creates a cost model scenario that has a interconnected web of cost models that model the services offered by the IT organization.
- Allen uses the cost model scenario to analyze the cost of providing a service and to monitor the price associated with a service.
- Paula uses the copy option to create a copy of the existing scenario. A new copy of the scenario gives her the flexibility of updating data related to any cost model or cost model element in that scenario without impacting the original (Active) scenario.
- Paula models the different business services with data for using cloud based applications offered by outside vendors. Allen edits the financial information related to all services. The new scenario now depicts the service models with variations for applications, labor and cost information.
- Paula and Allen use Service Cost Analysis portlets to compare the two scenarios as shown in the following figure:
In addition to the portlets, Paula and Allen can also use out-of-box Business Object reports to generate service cost analysis reports for different scenarios for comparison. - Paula prepares a business case using the comparison data from the scenarios and asks approval for most efficient scenario.
- After approval, Paula activates the scenario.
- Allen can now use the most efficient scenario to generate data such as bill of IT, service utilization and unit cost and price. The data related to previous scenario remains unchanged and can be re-activated at any point.
Assessing efficiency of process and costs of applications and tool after merger and acquisitions
Paula, the service manager, is required to assess the cost of using various applications after Calbro Services acquires another company. The acquired company has certain applications and tools in place that provide the same service as the ones that exist in Calbro Services.
Paula and other IT managers use BMC IT Business Management Suite to complete the following tasks:
- Creates new cost model scenarios to emulate the business environment with services that use tools and applications from the acquired company.
- Compares cost model scenario of existing tools and applications with new cost model scenarios.
- Determines the cost savings of using one scenario over the other.
- Provides different scenario options and direction to business units based on her results.
- The business units can now make a decision to use the most cost effective scenario and use the recommended tools and application.
- If approved, the IT organization can initiate the project to implement the new scenarios with acquired tools and applications.
