Viewing budget details


The Budgeted Cost Details page presents a summary of planned project spend. This page includes expense and project details and subtotals. It also includes several columns of information, including Budget Type (project or sustaining), Cost Type (type of expenditure), and Spend Type (reallocation or incremental costs). You can quickly focus on key aspects of planned project spend by using the various search terms such as General Ledger Type (expense, capital, or depreciation), Budget Type, Cost Type, Spend Type, and flex dates (if enabled).

Note

Subtotals for expense and capital are calculated on a per-page basis. If your project has a large number of planned costs, each page tabulates its own subtotal. You can quickly see the overall subtotals for the project budget by clicking the Financials tab.

The default tab is Budgeted Cost Details. The same screens are used to create, edit, and delete budgeted line item costs in any budget. All line item budget screens that you access from the Budget Details screen will be pre-populated with the same Project name, which is a read-only field.
The Project Costs and Sustaining Costs tabs in the Budget Details section correspond to the two key components of an IT budget, typically:

 

  • Project Costs
     Line item costs that are incurred during the planning and execution of a project.
  • Sustaining Costs
     Costs that result from a project but are incurred after the project completion. Such expenses include ongoing maintenance, support, and depreciation.
    Sustaining costs are budgeted in the project to capture the full project TCO, but actuals are entered only against project costs. For either type of cost, you can view expense and capital expenditure amounts that are displayed by general ledger account by selecting the Expense Summary and Capital Summary radio buttons. You can modify these budgets in the Budgeted Cost Details section.
    By default, the collapsed General Ledger Account Summary lists in both the Expense Summary and Capital Summary sections display only the top level of the hierarchy. You can change the display, as follows.
  • To expand a general ledger account, click the plus ➕️ sign next to it in the Name column.
  • To collapse a general ledger account, click the minus (-) sign next to it in the Name column.
  • To display the general ledger account hierarchy, click Expand All.
  • To display only the top-level general ledger accounts, click Collapse All.
