Adding additional approvers


Individuals and groups can be added as ad hoc approvers to a change request, in addition to the approvers that are selected by any configured approval processes. Ad hoc approvers can only be added to an active approval process where there are still pending approvals. This functionality helps to ensure that all relevant signatures are obtained.

The ability to add ad hoc approvers to a change request is limited to:

  • Any user with Infrastructure Change User permissions that belongs to the assigned Change Coordinator or Change Manager support group
  • Any user with Infrastructure Change Master permissions

You can select individual approvers who have an active People record with a login ID. The user does not need to be a member of a support group or have the Infrastructure Change Approver functional role to be added as an approver. For group approvers, at least one member of the group must be a member of a support group and have the Infrastructure Change Approver functional role.

Ad hoc approvers are notified immediately of the pending approval request, which is handled as a separate approval signature. The change request cannot move past the approval phase until each ad hoc approval is completed, along with any approval that is mapped to the change request through a configured approval process.


To add ad hoc approvers

  1. In the Approval list, Click + Add approver.
  2. Perform one of the following steps:
    • Select Individual to add a person as an approver.
    • Select Group to add a support group as an approver.
  3. In the Approver field, enter the name of the approver that you want to add.
  4. Click Add.

To add ad hoc approvers

  1. In Approval list, select Add Approver to add an individual or select Add Approval Group to add a Support group.
  2. Perform one of the following steps:
    • Enter the user's name or email to search for the matching entries.
    • Enter the support company, organization, or group name to search for the matching support groups.
  3. Select the required approver. 
  4. Click Add.

To add ad hoc approvers

  1. Open the change request.
  2. Advance through the states of your change request until you reach an approval stage.
  3. Click the Approvers tab.
    The Approvers table displays the list of approvers generated for the change request. Their signature is required for approval. You might need to refresh the table to see the lists. The list contains the following information:
    • Approval Status—Indicates the status of the work on the change.
    • Approvers—Indicates the names of the approvers.
    • Name—Indicates either the individual's full name or the support group name.
    • Alternate Signature—Indicates whether the logged on user, who is not in the approvers list, has the ability to take approval action on the signature. The value of this column can be one of the following options:

      • Null when:
        • the logged on user is in the approver list
        • the logged on user is not in the approver list, an Override Admin, an alternate approver, or Full Admin
      • Logged on user's ID when:
        • the user is the alternate approver
        • the user is an override admin for the process with which the signature is associated
        • the user is a full admin for the process with which the signature is associated

      This information is not displayed when viewing All Approvals or Future Approvals.

  4. Click Add.
  5. On the Add Approver dialog box, select an individual, or a group to add.
  6. Enter the name of one or more individuals or groups.
  7. (Optional) To search for an individual, enter a name or initial in the Full Name+ field.
  8. Click Save.
    You might have to refresh the table field to see all approvers.
  9. Click Save.
    The approver is notified that they must review the change request.
