Raising onboarding requests by using the service catalog


An Onboarding Manager can raise onboarding requests from the service catalog from BMC Helix Digital Workplace Catalog or through web API.

When the onboarding request is created, the request submitter, hiring manager, recruitment manager, and manager get access to the onboarding request. However, only users with the Onboarding Manager role can access the Onboarding Portal and view and manage the onboarding request.

Before creating an onboarding request for a new employee, the new employee's details must be available in the Foundation data. If employee data is not already added, the Onboarding Manager can add the new employee details to the Foundation data while creating the onboarding request.

To raise an onboarding request by using the catalog service item

  1. Log in to BMC Helix Digital Workplace Advanced.
  2. From the top menu, click Catalog.
  3. On All items and services page, select Onboarding request.

  1. (Optional) If the new employee's details are not available in the Foundation data, complete the following steps:
    1. Clear the Yes check box for the Is the new hire added to the system option.
    2. Specify the first, middle, and last name of the new employee.
    3. Select the gender of the new employee.
    4. Specify the Personal email and Contact number of the new employee.
    5. Specify the Job Requisition ID of the job for which the new employee is being hired.
    6. Select the Joining date.
    7. Specify the Job title.
    8. Click Next.

  2. On the Onboarding request page, click Request now.
  3. Select the Hiring manager, Recruitment manager, Manager, and Buddy for the new hire, and click Next.
  4. In the New hire information section, enter the following details:
    1. Name
      The new hire record must be available in the system. Learn how to create the people record in Creating and modifying People data.

      The Personal email and Contact number details are automatically populated.

    2. Gender
    3. Job requisition ID
    4. Joining date
    5. Job title
  5. In the Employment information section, specify the following details:
    1. Company
    2. Organization
    3. Department
    4. Location type
    5. Joining location
    6. Employment type
    7. Employee type
  6. Click Submit request.

Troubleshooting

If the request is not saved, confirm that the email address or mobile number is correct.
