Mapping templates


The out-of-the-box onboarding solution supports multiple flavors of onboarding flows. The onboarding solution allows a case business analyst to map a case template to multiple qualifications such as company, country, location type (onsite or remote), employment type, job title, and so on.

To achieve a high level of customization, a case business analyst can create different case templates catering to different flow types. A case business analyst can create a new template mapping or reuse an existing mapping by modifying the details. When an onboarding request is raised, the case template mapped to the best qualifying template mapping is used for creating a case.

The onboarding solution offers the following mappings for creating onboarding requests out of the box:

Field customization

A case business analyst can customize the qualifications for the following out-of-the-box fields:

  • Company
  • Country
  • Location type
  • Employment type
  • Job title

Best practice
Consider the following best practices to customize the out-of-the-box fields:

  • Copy the out-of-the-box case template and then customized the task flow, and configuration value, such as default dynamic field values.
  • Avoid changing the qualification for the out-of-the-box template mapping. This provides a fallback template mapping for the onboarding request since the template mapping are defined for Global company with location type onsite or remote. You can still map a different case template mapped to the onboarding process. 

In addition to the out-of-the-box fields, the case business analyst can map templates with the custom fields by using the query expression support and define qualifications for the custom fields. When an onboarding request is created, the defined expressions are evaluated, and the template with the matching expression is used to create a corresponding case in BMC Helix Business Workflows.

Process to personalize the onboarding flow

The following image shows the process to personalize the onboarding flow and the current step that you are on:

To create a new template mapping

  1. Log into BMC Helix Business Workflows and, click SettingsIcon.jpg Settings.
  2. Expand Content Management, and select Manage Content.
  3. Select Onboarding solutions use case, and click 22105_ManageConfigurationIcon.jpg.
  4. On the Human Resource settings page, expand Onboarding, and click Template mapping.
  5. On the Create template mapping page, specify a name for the mapping, and select the status.
  6. In the Query expression section, click Build expression
  7. In the build expression dialog box, add the required custom fields and out-of-the-box fields by using the appropriate operators and values, and click Save.
  8. In the Onboarding process section, select the Template name.
  9. Click Save.
