Defining the configurations for the onboarding solution


The onboarding solution provides out-of-the-box onboarding flows based on qualifications, such as location and roles. The flows are defined by case templates that contain tasks for agents working on the onboarding requests, onboarding managers, and new hires.

The case templates are used to design different flavors of an onboarding flow. The task flow of a case template provides a powerful way for a case business analyst to design a custom onboarding flow by using the BMC Helix Innovation Studio process designer.

The following case templates are provided out of the box for the onboarding solution:

  • Onboarding request for Onsite joining
  • Onboarding request for Remote joining
  • Onboarding request for United Kingdom


Example

The flows are different based on location type (onsite or remote), and joining location (global and UK). If an administrator wants to create an onboarding flow for an onsite location for contractual workers for the India location, the administrator will create a separate template, and define the Country, Location type, and Employment type attributes. The administrator can define location-specific task categories, named lists, and Flowsets if required

Dynamic data in onboarding flows

The onboarding case templates contain dynamic data with a default value which is used as configuration values in the onboarding flow. The following table lists the dynamic data in the onboarding case templates:

Onboarding lead time - in days

Number of days before the joining date on which the tasks should be activated to start the onboarding process.

Default value is 14 days.

Even when an onboarding request for a new hire is created one or two months before the joining date, and the flow creates the tasks for different departments in staged status, the tasks are activated only 14 days before the joining date. 

Create default assets

Determines whether a default asset should be associated with an onboarding request at the time of creation.

If this configuration value is set to false, a Hiring Manager must manually select the assets from the Onboarding Portal.

Default value is true.

Out of the box, all the onboarding requests are created with default assets.

Asset provisioning reminder lead time - in days

Number of days before the joining date when a hiring manager should receive a reminder notification for configuring and reviewing the assets provisioned for the request.

Default value is 5 days.

A Hiring Manager receives a reminder notification 5 days before the joining date for configuring assets for an onboarding request.
