Onboarding Portal


The Onboarding Portal is a single-point hiring and onboarding experience center for hiring and recruitment managers.

Recruitment managers and hiring managers with the Onboarding Manager role can raise an onboarding request from BMC Helix Digital Workplace Advanced by using the Onboarding Request catalog item, or by using the web API call.

The Onboarding Manager can then track, view, and update the requests in the Onboarding Portal. If the onboarding manager changes, the new manager can view the details of the upcoming to dos for new joiners that are transferred to him.

Requests in progress

View the onboarding requests that are active and for which the onboarding is in progress.

Upcoming requests

View requests for which the onboarding process hasn't started yet. The process remains in a wait state till the lead time is reached. Lead time is a predefined number of days before the joining date. The default lead time is 14 days.

Recently completed requests

View completed, canceled, and closed requests in the last 30 days.

Search bar

Search the onboarding requests by using the following fields:

  • Service Request ID (SR ID)
  • Case Display ID
  • New hire full name
  • New hire job title
  • Job requisition ID
  • New hire joining site
  • New hire personal email

Toggle button

Allows hiring and recruitment managers to switch between grid and card layout.

Advanced filter

Filter the onboarding requests by entering or selecting values in the available filters.

Refresh

Refresh the onboarding requests in the grid and card layout.

To access Onboarding Portal from BMC Helix Business Workflows

As an onboarding manager, access the Onboarding Portal directly from BMC Helix Business Workflows. 

  1. Log in to BMC Helix Business Workflows.
  2. In the top navigation bar, from the Workspace drop-down menu, select Onboarding.
    The Onboarding Request Console page opens.

To filter onboarding requests

As an onboarding manager, filter the onboarding requests by entering or selecting values in the available filters.

  1. In the default view of the Onboarding Portal, click Advanced Filter.
  2. Enter or select any of the following values from the available filters:
    • Country
    • Department
    • Employment type
    • Job title
    • Joining date
    • Joining location
    • Organization

Tip: For faster searching, add an asterisk to the end of your partial query. Example: cert*
