Offboarding solution


The offboarding solution presents an end-to-end offboarding experience for the voluntary separation of employees. It includes all artifacts such as catalog items, case and task templates, to-do templates, processes, notification templates, document templates, knowledge articles, and offboarding workflows. The offboarding solution provides an effective, hassle-free experience.

Some of the benefits of the offboarding solution are:

  • Provides a clear, consistent, and seamless offboarding experience.
  • Automates HR and other inter-department processes.
  • Integrates with lines of business and other peripheral systems.
  • Provides different tasks for exiting engagements.

Workflow of offboarding process

The offboarding solution provides a workflow to help an employee separating from a company have a smooth transition. The workflow covers all tasks that are assigned to multiple departments to receive clearance for the exiting employee.

  • Manager raises an offboarding request in BMC Helix Digital Workplace Advanced.
  • An automatic case is created in BMC Helix Business Workflows.
  • Approvals, tasks, work orders, notifications are automatically created and assigned to various interdepartmental teams.

Preparation

All teams and users complete to-dos assigned to each user and team.

  • Approvals are completed.
  • Tasks and to-dos are completed.
  • Transition is completed.
  • Clearance from all departments is received.

Retention (Optional)

  • Exit employee
  • Exit employee manager
  • HR Consultant

Manager discusses retention.



  • If exit employee agrees to stay back, the offboarding request is canceled and all tasks are automatically canceled.
  • A counter offer is rolled out.

Departure

  • Exit employee
  • Exit employee manager

If employee doesn't agree to be retained, on the last working day, the employee is relieved of services.

  • Relieving letter and service certificate are emailed to the employee.
  • Alumni Service Center registration link is shared with the exiting employee.

Post departure

  • HR business partner
  • Finance
  • HR business partner reviews exit interview feedback with the employee manager.
  • Finance team sends the former employee the full and final settlement.
  • Manager removes the former employee from the alternate approver list.
  • IT team transfers the asset that was owned by the former employee to the manager.

Offboarding process is complete.
