Changing resource assignment statuses
When a new resource assignment is created, by default, its status is set to Draft.
The following users can move the resource assignment to different statuses throughout its lifecycle:
- Resource Manager, the creator of the parent resource request
- Resource Masters
- Idea Manager of the idea, if the related entity of the parent resource request is an idea
- Demand Manager of the demand, if the related entity of the parent resource request is a demand
- Project Manager of the project, if the related entity of the parent resource request is a project
- Users with additional write access in the project
- Task user assignee of the task
- Portfolio Manager of the portfolio
- Portfolio Masters
- Entity user assignee of the external entity
To change a resource assignment status
- Open the resource assignment. A resource assignment can be accessed from two sources:
- In Portfolio Management application:
- Log in to the Portfolio Management application.
- Navigate to Workspace > Resource Assignments.
- Click the required assignment ID.
- In Smart IT application:
- Log in to the Smart IT application and access an incident/ task/ work order/ change request.
- In the edit view, click Manage Resources. The console shows the details of the entity along with the related resource requests and resource assignments in the form of grids.
- Select the resource request from the grid of resource requests and click on the resource assignment ID from the grid of resource assignments.
- In Portfolio Management application:
On the resource assignment details page, click Next. The following table lists the required status change based on actions you can perform on a resource assignment:

The Resource Manager has entered details such as the assigned resource or resource group, the timeline of the assignment, the assigned hours, and so on, in the resource assignments.
The resource assignment is ready to create and manage the planned hours.
Plan/Prepare
Plan/Prepare
Planned Hours created in the resource assignment.
Assigned Resource user or users s members of the resource group can start to log timecards with the resource assignment.
Assigned
Assigned
The resource contributors can no longer be able to log their timecards on the resource assignment.
Completed
To cancel a resource assignment
- Open the resource assignment. A resource assignment can be accessed from two sources:
- In Portfolio Management application:
- Log in to the Portfolio Management application.
- Navigate to Workspace > Resource Assignments.
- Click the required assignment ID.
- In Smart IT application:
- Log in to the Smart IT application and access an incident/ task/ work order/ change request.
- In the edit view, click Manage Resources. The console shows the details of the entity along with the related resource requests and resource assignments in the form of grids.
- Select the resource request from the grid of resource requests and click on the resource assignment ID from the grid of resource assignments.
- In Portfolio Management application:
- On the resource assignment details page, click Cancel.
- On the confirmation dialogue box, click Yes.
