Foundation Data Console


The Foundation Data Console is a user interface or platform designed to manage the Foundation Data effectively. It is accessible to the Resource Managers and Resource Masters through the Resources tab on the navigation bar.

The console provides the users with a centralized location to - 

  • View the data components such as resource groups, resources, and individuals' details like job profiles, qualifications, trainings, and examination certificates. 
  • Add/update the qualifications, trainings, and certificates for the resources. 
  • Initiate self-assessment for their subordinates, individually or for the whole resource group at once.
  • Approve or update the self-assessments.  

Apart from the direct management of data, the console also auto-populates the changes/updates from - 

  • Self-assessments done by individuals under their My Competencies section. 
  • Job Profile Console and the qualifications, courses, and certificates associated with the Job Profiles.
  • Resource Group Console and the qualifications, courses, and certificates associated with the Resource Groups. 

Foundation Data Console

To access the console, log in to the Portfolio Management application and click Resources > Foundation Data.

Access menus

Navigate to the following options available in the Portfolio Management application:

Messages: Shows the notifications for your profile.

For example, when a project task is assigned to the currently logged-in user, the notification will appear under this bell icon.

Application Settings: Shows the configuration settings in the Portfolio Management application.

Application Launcher: Contains a dropdown menu of all the applications, offered by BMC.

For example, click on BMC Helix Dashboards to access HPM Reports. For more information, see Viewing Reports.

My Profile: Displays the following user options:

  • My Competencies: Redirects the users to the My Competencies section, where they have different consoles to add and manage their qualifications, trainings and examination certificates and keep track of their assessment history. For more information, see Managing My Competencies.
  • Log Timecards: Redirects the user to the Timecard Dashboard, where they can enter a new timecard. For more information, see Timecard Dashboards
  • My Availability: An availability tag that can be applied to a user's profile to show they are available for assignment.
  • My Preferences: A field to enter the preferred language of the user.
  • Sign Out: Click to log out of the application.

Resource Groups Workspace

Contains the list of resource groups of the user. It also includes features like - 

  • Search Grid: To search in the workspace by entering the keywords or ID.
  • Filter: To filter the listed records by entering or selecting values. You can use preset filters that are readily available to narrow down your search. Preset filters are filters that are available out of the box. Learn more about creating filters in Defining filter presets to search records
  • Visible Columns: To modify the visible columns in the workspace.

Members Workspace

Contains the list of the members of the resource group selected in the previous workspace. It also includes features like - 

  • Search Grid: To search in the workspace by entering the keywords or ID.
  • Filter: To filter the listed records by entering or selecting values. You can also use preset filters that are readily available to narrow down your search. Preset filters are filters that are available out of the box. Learn more about creating filters in Defining filter presets to search records
  • Visible Columns: To modify the visible columns in the workspace.

Show Details 

This button appears (enabled) upon selecting any one resource on the Members Workspace. It redirects the user to the competency details of the selected resource. For more information, see Fig. 2 and Table 2.

Initiate Self Assessment(s)

This button appears (enabled) upon selecting one or more resources on the Members Workspace. It helps the user to initiate self-assessments for the selected resource(s). 

Upon clicking Initiate Self Assessment(s), a dialogue box appears asking below details:

  • Requester: This is the currently logged-in user.
  • Description: This is to provide description as per the requirement. 
  • Target Date: This is the date by which you want the selected resource(s) to complete the assessment.

Clicking the Continue button triggers an email and notification to the selected recourse(s), asking them to submit their self-assessment. 

Warning

Note - Self-assessment can not be initiated when the self-assessment status is already set at Requested.

Update Self Assessment

This button appears (enabled) upon selecting any one resource on the Members Workspace. It helps the user to update the self-assessment for the selected resource. 

Upon clicking Update Self Assessment, a dialogue box appears asking below details:

  • Requester: This could be the selected resource's name that can be changed with the currently logged-in user's name.
  • Description: This can be modified as per the requirement. 
  • Target Date: This can be changed as per the need.

Clicking the Save changes button triggers an email and notification to the selected recourse(s), asking them to submit their self-assessment.

Approve Assessment(s)

This button appears (enabled) upon selecting one or more resources on the Members Workspace. It helps the user to approve the self-assessments for the selected resource(s). 

Resource Competency Details

As mentioned in Table 1, the Show details button redirects the user to the competency details of the selected resource. Let's check the included details.

General Details

The general details include:

  • Job Profile: The Job Profile associated with the selected resource.
  • Cost Rate: Cost rate of the selected resource.
  • Self-Assessment Status: This could be either Requested, Submitted or Assessed. 
  • Last Self-Assessment Completed: Shows the date on which the selected resource's last self-assessment was completed.
  • Current Working Hours: Shows the allocated working hours of the selected resource.

Assessment History

This button redirects the user to the Assessment History Console of the selected resource. This is the same console the individual resources have under their respective My Competencies/Competency Management section. For more information, see Managing My Assessment History.

Qualifications Workspace

Shows the list of qualifications for the selected resource. It also includes features like - 

  • Search Grid: To search in the workspace by entering the keywords or ID.

Shows the list of trainings for the selected resource. It also includes features like -

Examination Certificates Workspace

Shows the list of examination certificates for the selected resource. It also includes features like - 

  • Search Grid: To search in the workspace by entering the keywords or ID.
  • Filter: To filter the listed records by entering or selecting values. You can also use preset filters that are readily available to narrow down your search.   • Visible Columns: To modify the visible columns in the workspace.

Add Qualification for Resource 

This button is to add new qualification for the selected resource. For more information, see Managing competencies under Foundation Data console.

Similarly, the Trainings and Examination Certificates Workspace have +Trainings and +Ex. Certificate buttons, respectively. 

(Note - This feature is particularly beneficial for the resource managers to plan qualifications, trainings and certificates of the resources.)

Under this tab, the users get space to add comments.
