Viewing and updating project details


The users who can access and view a project: the Portfolio Manager who created the project, the Project Manager who has been assigned to the project, Task Users members of Teams of the project, the Demand Manager assigned to the demand (if the project was created from a demand), the Portfolio Manager assigned to the portfolio of the projectProject Masters, Portfolio Masters and Project Managers granted additional accesses in the project.

The Project Manager assigned to the project, the Portfolio/Program Manager of the parent portfolio/program of the project and Project Managers granted 'Write' additional access, can edit the project details.

To update a Project

  1. Log in to the Portfolio Management application
  2. Open a project, using one of the following ways:
    • Navigate to Workspaces > Projects and click the required project ID.
    • Navigate to Portfolio/Program console, click the portfolio/program ID to open the respective workspace, go to the Projects tab and click the required project ID from the list.
  3. On the project details page, click Edit, and perform any of the following actions:

    Change the basic project details

    The project manager assigned and the portfolio/program manager can update basic details of the project:

    • Summary
    • Description
    • Progress
    • Start Date
    • End Date

    Assign project manager

    Once the project is moved to 'Plan/Prepare' status, the project manager is required.

    The portfolio/program manager or current project manager can reassign the project:

    • Click the Associate button next to the 'project manager' field.
    • A blade window is opened with a list of project managers. Select the new project manager and click Select.
  4. Click Save to apply the changes.

Header functions

Opening a project, you can also view functions (bottoms) related to the project in the header.

The following table describes the project functionalities that you can view for your reference: 

Header bottom

Purpose

Select Template

Apply a project template on the project, see Applying-a-template-on-a-draft-project. Only available if the status is 'Draft'.

Labels

This button is accessible to users who have the role of Portfolio Masters or are Project Manager for the current project or Portfolio/Program of the parent portfolio/program

Single click on this button will open up a blade that shows all the labels created within the current project. The accessor can create a new label for the current project by clicking on +Custom Label

Project Status

View and manage project status reports about overall progress, see Project-Status-Reporting.

Gannt

Access to the Gannt Char view of the project, see Gantt-Chart.

Resources

This button is visible to users who have the role of a resource contributor and if resource management is activated for Ideas. To get further details refer to Configure-source-entity-type.

Clicking on this button will open up a blade that shows all the resource requests and resource assignments that are related to this idea. This blade also has a button to directly create a resource request related to this idea.

Timecards

This button is visible to users who have the role of a resource contributor and if resource management is activated for Ideas. To get further details refer to Configure-source-entity-type.

Clicking on this button will open up a blade that will allow the logged-in user to create a timecard.

Other project tabs

Other than the basics you can also view certain tabs that provide more information about the project. These tabs are not available in 'Draft' status. The project manager can use this information to work on the project.

Project tab

Purpose

Sprints 

The sprints tab is only visible for Agile projects. In this tab, you can see a list of the Sprints related to the project.

Sprints, within an agile project, can be implemented overlapped.

To create new Sprints in the Agile project, see Creating-sprints.

To open and view sprints, see Viewing-and-updating-sprint-details.

To create a new task in a sprint, see Creating-tasks-in-a-sprint.

To relate tasks to a sprint, see Relating-tasks-to-a-sprint-or-a-phase-and-unrelating.

To delete a sprint, see Deleting-sprints.

Phases

The phases tab is only visible for Phased projects. In this tab, you can see a list of the Phases related to the project.

To create new Phases in the Phased project, see Creating-phases.

To create a new task in a phase, see Creating-tasks-in-a-phase.

To relate tasks to a phase, see Relating-tasks-to-a-sprint-or-a-phase-and-unrelating.

Tasks in Sprints

The "Tasks in Sprints" tab is only visible for Agile projects. You can see a list of all tasks related to sprints in the project.

Tasks in Phases

Tasks in the Phases tab are only visible for Phased projects. You can see a list of all tasks related to phases in the project.

Tasks in Backlog

List of tasks pending to be related to sprints or phases.

Global Tasks

List of tasks to be implemented and are not related to sprints or phases.

Teams

List of teams defined in the project.

Additional Access

List of additional people who have been granted access (read or write) to the project.

To grant access to a person, refer to Setting project additional access.

Activities

The Activities tab on the project details page displays activities and history of the changes that the project manager, portfolio/program manager, task users members of teams and project managers with additional access have made in the project.

Related

Project managers and portfolio/program managers can attach files to a project and view a consolidated list of all the documents added.
