Importing a Project


This topic guides you on how to import projects in the Helix Portfolio Management app. For a quick introduction to Project Import, refer to Project Import Overview.

The below operations can be performed by the Portfolio Masters.

To Import a Project

Before you begin, please note, the Project Import feature only supports the .XML files exported from the MS Projects app. 

  1. Log in to the Portfolio Management application.
  2. On the navigation bar select Create > Project Import. This will bring you to the Work Breakdown Structure Import Manager page. 
  3. Click +New and enter the values for the following fields: 

    Field Labels

    Description

    Import Name 

    Enter a title for the Project Import. 

    Portfolio/Program

    Click the Associate Portfolio or Program button and select the portfolio/program under which you want to import the project.

    Import Type

     The field is predefined with the option "WBS XML Import". 

    File to Import 

    Click Attach File to provide the .XML file containing the project to be imported. 

  4. Click Begin Import to proceed with the import and jump to the next UI for more details. Please note, the Save option is to save the import record in Draft status. 
  5. On the Import - Specify Project Details page review/enter the values for the following fields: 

    Field Labels

    Description

    Import Name 

    The title for the Project Import, copied from the WBS Import Manager page

    First Level Root Type

    Predefined as "Project". 

    Project Name

    Predefined with the name available on the imported .XML file.

    Behavior

    Type of the project: Agile or Phased.   

    Project Manager

    Click the Select Project Manager button and you will get the list of people having project manager roles. Select one from the list and assign them as the project manager. 

  6. Click Next Step to to go to the Import-Define Levels page. It takes a while for the root types to be defined. 
  7. Click Refresh and you will be redirected to the Define Root Types for all tab of the Import-Define Levels page. The tab shows the staging records of the project that has been imported. This displays the name and details of the Project, Sprints/Phases, Tasks and Subtasks that will be created in the Helix Portfolio Management app out of the imported project.
  8. The page allows you to edit a few details of the records.  
    1. Select the radio button parallel to the records.
    2. Click Edit
    3. Edit details like Entity Name and Description. 
    4. Click Save.
  9. The page also allows you to change the Project or Sprints to a Global Task and visa versa. 
    1. Select the radio button parallel to the record with the root type "Project" or "Sprint".
    2. Click Edit
    3. Select Change Entity Type to: > Global Task
    4. Click Save.
  10. Click Create record in HPM. This will bring you back to the WBS Import Manager page and start creating the records in HPM. As this takes a while, the status of the project import appears "In Progress". Once all the records are created inside the Portfolio Management app, the status changes to "Completed". 
Warning

When a project is created in the Helix Portfolio Management app using the project import feature, it is automatically assigned the status Plan/Prepare. This is because the app does not display Sprints/Phases, Tasks, or Subtasks within the project while it remains in Draft status.
