Viewing and updating idea details


Idea Contributors can view and access any idea created in the application.

After an idea is created, the idea contributor creator of the idea can update the idea details like summary, description, problem solved, benefits, and attachments, while the status is 'Below Review Threshold'.  The Idea Manager assigned to the idea, the Portfolio/Program Manager of the portfolio/program (if the idea is related to a portfolio/program), and Portfolio Master, can edit the idea if the status is 'Below Review Threshold' or 'Under Review'. 

To update an idea

  1. Open an idea, in different ways:
    • Log in to BMC Helix Digital Workplace and click the Idea tab and click the required idea ID.
    • Log into the Portfolio Management application:
      • Navigate to Workspace > Ideas and click the required idea ID.
      • Navigate to Portfolio/Program console, click the portfolio/program ID to open the respective workspace, go to the Ideas tab and click the required idea ID from the list.
  2. On the idea details page, click Edit, and perform any of the following actions:

    Change the basic idea details

    Idea contributor can update basic details of those ideas which he/she has created while the status is 'Below Review Threshold'. The basic details fields are:

    • Summary
    • Description
    • Problem Solved
    • Benefits
    • Attachments

    The assigned idea manager and portfolio/program manager (if an idea is related to a portfolio/program) can update basic details in any status.

    Assign idea manager

    By default, new ideas are assigned to the idea manager specified in Configuring-Idea-Management.

    The idea manager assigned and the portfolio/program manager (if an idea is related to a portfolio/program) can reassign the idea:

    • Click the Associate button next to the idea manager field.
    • A blade window is opened with a list of idea managers. Select the new idea manager and click Select.

    Change the advanced idea details

    Idea manager can update advanced details of those ideas to which he/she is assigned as Idea Manager. The advanced details fields are:

    • Portfolio/Program
    • Type (Requirement or Demand)
    • Reported Source

    Important: Portfolio/Program and Type are required fields to accept the idea.

  3. Click Save to apply the changes.

Header functions

Opening an idea, you can also view functions (bottoms) related to the idea in the header.

The following table describes the idea functionalities that you can view for your reference: 

Header button

Purpose

Resources

This button is visible to users who have the role of a resource contributor and if resource management is activated for Ideas. To get further details refer to Configure-source-entity-type.

Clicking on this button will open up a blade that shows all the resource requests and resource assignments that are related to this idea. This blade also has a button to directly create a resource request related to this idea.

Timecards

This button is visible to users who have the role of a resource contributor and if resource management is activated for Ideas. To get further details refer to Configure-source-entity-type.

Clicking on this button will open up a blade that will allow the logged-in user to create a timecard.

Accept

This button is visible in 'Under Review' status to the users: Idea Manager of the idea, Portfolio/Program Manager of the portfolio/program, and Portfolio Masters. To accept the idea, click Accept. For more information, see Accepting-or-rejecting-ideas.

Reject

This button is visible in 'Under Review' status to the users: Idea Manager of the idea, Portfolio/Program Manager of the portfolio/program, and Portfolio Masters. To reject the idea, click Reject. For more information, see Accepting-or-rejecting-ideas.

Other idea tabs

Other than the basic or advanced details of an idea, you can also view certain tabs that provide more information about the idea.

Vote History

Vote History tab shows all the voting done by contributors.

The Activities tab on the idea details page displays activities and the history of the feedback that employees of the organization have made on the idea.

Related

Idea contributor creator of the idea and assigned demand manager can attach files to demand and view a consolidated list of all the documents added.
