Viewing and updating timecards
The users who can access and view a timecard are: Resource Manager creator of the parent resource request related with the resource assignment of the timecard, Resource Masters, Resource Contributor creator of the timecard ('Assigned Resource' of the resource assignment).
Depending on the related entity of the parent resource request of the resource assignment related, the following users can also access and view a timecard:
- Idea: Idea Manager assigned to the idea, Portfolio Manager of the portfolio and Portfolio Masters.
- Demand: Demand Manager assigned to the demand, Portfolio Manager of the portfolio and Portfolio Masters.
- Requirement: Portfolio Manager of the portfolio and Portfolio Masters.
- Project: Project Manager of the project, Project Masters, users with additional accesses in the project, Portfolio Manager of the portfolio and Portfolio Masters.
- Sprint: sprint manager of the sprint, Project Manager of the project of the sprint, Project Masters, users with additional accesses in the project of the sprint, Portfolio Manager of the portfolio and Portfolio Masters.
- Phase: phase manager of the phase, Project Manager of the project of the phase, Project Masters, users with additional accesses in the project of the phase, Portfolio Manager of the portfolio and Portfolio Masters.
- Task: Task user assigned to the task, Project Manager of the project of the task, Project Masters, users with additional accesses in the project of the task, Portfolio Manager of the portfolio and Portfolio Masters.
- External entity: user assignee of the external entity.
Only Resource Contributor user creator of the timecard can edit the timecard in Draft status.
To update a timecard
- Open Timecard Dashboard, two sources:
- Log in to the Portfolio Management application and go User > Log Timecards.
- Log in to the Smart IT application and access an incident/ task/ work order/ change request. On the details page of the record, go to Timecard Dashboard.
- On the workspace, select the timecards in Draft status to update and click on required Display ID.
- On the timecard details page, click Edit.
- Apply the changes in the fields and click Save.
Header functions
Upon opening a timecard, you can also view functions (buttons) related to the timecard.
The following table describes the timecard functionalities that you can view for your reference:
Header button | Purpose |

Recall | Clicking 'Recall', user creator of the timecard changes the status to 'Draft', then it is possible to edit the timecard. See Submitting-and-recalling-timecards. This button is only active when status is 'Submitted'. |
Submit | Clicking 'Submit', user creator of the timecard changes the status to 'Submitted', and sends the timecard to approval. See Submitting-and-recalling-timecards. Only available when status is 'Draft' . |
